About the position

The Chief of Staff (COS) at Wilcox Academy of Early Learning is a pivotal role designed to lead and support the operational and strategic needs of the organization in partnership with the CEO, Rochelle Wilcox. This position is essential for ensuring that the Academy, which serves approximately 165 students across three locations, operates smoothly and effectively. The COS will work closely with the Leadership Team to align organizational priorities and facilitate effective communication throughout the Academy. This role is particularly important as the Academy continues to grow, including the establishment of a new facility on a local university campus. The COS will be responsible for codifying policies and procedures that will support the transition and growth of the organization, ensuring that all locations are aligned with the Academy's mission and vision. In addition to operational oversight, the COS will act as a close thought partner to the CEO, providing analysis and context for decision-making. This includes preparing the CEO for meetings and events, managing executive communications, and enhancing the Academy's public profile. The COS will also lead special projects and initiatives on behalf of the CEO, ensuring that all critical functions are executed in a timely and professional manner. This role requires a high level of discretion, integrity, and professionalism, as the COS will represent the CEO in various meetings and events with stakeholders, partners, and funders. Furthermore, the COS will oversee human resources functions, including the development and implementation of HR policies, recruitment, and employee relations. The role also involves supporting the establishment of operational systems across various functions, including information technology, child nutrition, and vendor management. The COS will play a crucial role in improving financial systems and strategies, ensuring compliance with all regulatory requirements, and driving the overall success of Wilcox Academy.

Responsibilities

  • Oversee the Office of the CEO, managing the office and establishing clear priorities.
  • Partner with the CEO to enhance Wilcox Academy's public profile and social media presence.
  • Coordinate executive communications, ensuring they reflect the CEO's voice and organizational vision.
  • Prepare the CEO for internal and external meetings, presentations, and events.
  • Lead, research, and track special projects and initiatives on behalf of the CEO.
  • Serve as a member of the Executive Leadership Team, supporting alignment of priorities and effective communication.
  • Monitor and advise the CEO on opportunities related to emerging trends and strategic partnerships.
  • Represent the CEO in meetings and events with partners and stakeholders.
  • Develop and implement HR organizational policies and procedures.
  • Collaborate to resolve employee relations concerns and support recruitment and onboarding processes.
  • Monitor HR strategies and oversee performance management systems.
  • Support the oversight of compensation and benefits programs.
  • Establish operational systems for various organizational functions.
  • Support the CEO in improving financial systems and strategy.
