About the position

Pennsylvania Voice is seeking a goal-oriented strategic thinker to join the organization's leadership team as Chief of Staff (CoS). The CoS will report to the Executive Director and support the leadership team by ensuring smooth day-to-day operations, facilitating communication across the organization, and developing systems and processes to strengthen the organization. The ideal candidate will be highly organized, reliable, and skilled at aligning detailed work with big-picture strategy, while also being committed to impartiality and equity in their work.

Responsibilities

  • Strengthen and develop the organization by understanding its mission, operations, structure, and culture.
  • Ensure day-to-day operations run smoothly and propose new systems and processes as needed.
  • Act as the organization's strategic plan project manager, ensuring alignment with the work plan and goals.
  • Create professional development and leadership training for staff and partner organizations.
  • Conceptualize and plan staff retreats and identify professional development opportunities.
  • Support the Executive Director and leadership team by representing the ED at meetings and events.
  • Serve as a thought partner and strategic advisor to the ED, challenging ideas and offering perspectives.
  • Devise and execute special projects as assigned by the ED.
  • Plan and manage key projects delegated by the ED.
  • Ensure timely flow of information from the ED to other parties and track high-priority initiatives.
  • Prepare the ED for meetings and manage follow-up actions as needed.
  • Manage the hiring process for leadership roles reporting to the ED in partnership with HR.
  • Act as stand-in for leadership team members during absences.
  • Manage leadership team meetings, including scheduling and tracking progress toward goals.
  • Oversee cross-departmental projects and cultivate consensus on organizational goals.

Requirements

  • 4-7 years of programs and organizing experience, and 1-3 years in organizational leadership, preferably in nonprofit, philanthropic, or civic settings.
  • 3+ years of supervisory experience.
  • Experience contributing to the strategic direction of a growing organization with a proven track record of exceeding goals.
  • Excellent relationship building skills with varied stakeholders.
  • Comprehensive analytical, strategic thinking, and problem-solving skills.
  • Demonstrated success in leading, developing, and empowering leaders and driving accountability.
  • High emotional intelligence and competency in giving and receiving feedback.
  • Ability to facilitate gatherings with diverse participants and build consensus.
  • Proven ability to analyze situations with a racial justice lens and utilize effective organizing strategies.
  • Deep knowledge of challenges related to race, gender, LGBTQ identity, age, class, and religion.

Nice-to-haves

  • Willingness to work long, irregular hours when needed.
  • Ability to travel occasionally, sometimes overnight, within Pennsylvania.
