About the position

Tichenor & Thorp Architects is a boutique, award-winning architecture firm located in Westside Los Angeles, specializing in a diverse range of project types both throughout California and internationally. We are currently seeking a highly motivated, personable, and detail-oriented individual to join our team as Chief of Staff. This role is pivotal within our organization, requiring an individual who possesses aesthetic sensitivity and a commitment to outstanding client service. The ideal candidate will excel in a collaborative environment, working closely with a small team while also managing independent tasks effectively. The Chief of Staff will oversee various aspects of office and team management, human resources, IT, and executive assistance. This position is designed for someone who can supervise a team of over 20 designers, outside consultants, and administrative staff, ensuring that the firm's operations run smoothly and efficiently. Responsibilities include establishing best practices, participating in meetings with outside consultants, overseeing staffing planning, managing project management meetings, and ensuring effective communication within the office culture. The role also involves monitoring staff attendance and managing administrative staff who handle office supplies, event planning, and scheduling duties. In addition to team management, the Chief of Staff will actively participate in HR responsibilities, collaborating with the principals on firm development, staffing, recruiting, and fostering a positive office culture. This includes developing and implementing staff training programs and ensuring a smooth onboarding experience for new hires. The IT responsibilities involve overseeing the administrative staff and consultants who manage onboarding, coordinate with IT consultants, and troubleshoot any IT issues that arise. Finally, the Chief of Staff will provide executive assistance, working closely with the Executive Assistant and Senior Administrator to support the two principals of the firm. This multifaceted role is essential for maintaining the high standards of our practice and ensuring that our team operates effectively and harmoniously.

Responsibilities

  • Supervise and coordinate a team of 20+ designers, outside consultants, and administrative staff.
  • Oversee the firm's operations and establish best practices.
  • Participate in meetings with outside consultants.
  • Oversee staffing planning and work with the controller on fee projections.
  • Manage staffing and project management meetings.
  • Oversee contract reviews and proposal writing.
  • Establish and update best practices in project management tools and processes, staff development training, and mentoring programs.
  • Monitor staff attendance.
  • Oversee administrative staff managing office supplies, inventory, and budget records.
  • Plan and execute office culture events such as happy hours and holiday parties.
  • Maintain the company calendar with staff schedules and organize staff/client meetings.
  • Ensure smooth onboarding experiences for new staff and manage IT onboarding processes.
  • Support the principals by working closely with the Executive Assistant and Senior Administrator.

Requirements

  • Minimum of 10 years of experience preferably within an architecture/design firm.
  • Bachelor's or Master's degree from a US accredited program.
  • Excellent verbal and written communication skills.
  • Attention to detail and a professional demeanor.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proficiency in Microsoft Office and G Suites.
  • Interest in graphics and experience with Adobe Creative Suite is a plus.
  • Experience working on a Mac-based platform.
  • Knowledge of Basecamp and Asana is desired; technology nimbleness is a big plus.
  • Possession of a US work permit.
