About the position

The Museum of Arts & Sciences is seeking a new Chief Operating Officer (COO) to join our leadership team. This key position requires a strategic planner, critical thinker, and confident collaborator who will oversee various departments including Guest Services, Gift Shop, Security, Human Resources, and Programs (Rentals and Education). The COO will also manage the Information Technology Contract and work closely with the CFO on essential financial matters. The ideal candidate will possess a strong ethical and moral compass, adhere to confidentiality requirements, and demonstrate diplomacy and thoughtfulness in interactions with employees, volunteers, and the Board of Trustees. The COO must remain calm under pressure, balance the needs of the organization with those of its stakeholders, and exhibit strong conflict resolution skills. A significant aspect of this role is to create “raving fans” among our guests, ensuring that their experience at the museum is of the highest quality. In this role, the COO will be responsible for leading and managing the Security, Guest Services, and Gift Shop Departments, supporting the Director of Programs, and contributing to leadership meetings. The COO will also be tasked with creating and implementing the museum operations budget, leading teams through annual budget cycles, and ensuring compliance with all necessary business licenses and permits. Additionally, the COO will oversee inventory management, track key data points, and ensure compliance with AAM Security Standards for Museums. The position also involves managing the IT contract, overseeing guest relations, admissions, and gift shop operations, and developing human resource policies and procedures. The COO will play a vital role in staff management, volunteer coordination, and program oversight, ensuring that all operations align with the museum's strategic goals and mission.

Responsibilities

  • Oversee and manage the Security, Guest Services, and Gift Shop Departments
  • Support and guide the Director of Programs for the Education and Rentals/Bars departments
  • Contribute to Leadership and Senior Staff meetings
  • Coordinate the execution and continued development for the five-year strategic plan with the CEO
  • Create and implement the museum operations budget
  • Lead teams for annual budget cycles; reviewing and approving submissions
  • Stay up to date with all museum business licenses and permits for all departments
  • Contribute to Museum Capex budget, conduct monthly variance reports and narratives for finance committee meetings
  • Oversee inventory management providing database reports for COGs & inventory totals, as well as spoilage/damage goods reports
  • Track key data points and metrics monthly on behalf of all areas of responsibility
  • Oversee Security department and annual process reviews for security team in partnership with the Chief of Security
  • Ensure continued compliance with AAM Security Standards for Museums
  • Update the Security Operation Manual, Safety/Emergency Drills and the annual review of the Disaster Preparedness Plan
  • Oversee third party IT contract which involves managing business licenses and accountability for employee annual cyber security trainings and onboarding
  • Responsible for department contract revisions, including rental contracts, independent contractor agreements, and vendor contracts
  • Oversee team leading day to day admissions and ticketing operations
  • Assist with reports on daily deposits, customer service strategies, refunds, call fielding, membership applications and processing
  • Lead ticketing and admission strategies, aligning with the Strategic Plan
  • Oversee team handling Museum Marketplace (food/beverage/retail)
  • Oversee merchandise/F&B strategies that align with current exhibits and mission
  • Plan and conduct new employee orientation & onboarding
  • Develop and implement human resource policies and procedures
  • Support the CEO in selecting and organizing benefit and compensation packages
  • Ensure compensation and benefits are in line with company policies and legislation
  • Identify and manage training and development needs for employees
  • Support annual salary review & compensation reports
  • Oversee payroll and time keeping systems and implement efficiencies
  • Implement and monitor staff performance review system
  • Handle employee complaints, grievances and disputes
  • Administer employee discipline processes
  • Conduct exit interviews
  • Review and update employee rules & regulations via the Employee Handbook
  • Organize and manage staff team building & morale building
  • Organize and run monthly all staff meetings
  • Manage the volunteer management contract with Uncover VC
  • Oversee Programming department, ensuring financials are complete for month end and program ROIs for evaluations are conducted
  • Develop business plans in partnership with key reports to leverage a return on investment and community engagement
  • Conduct annual revisions of exclusive vendors, verifying insurance, workers comp and licenses on file and vendor agreements signed.

Requirements

  • 4-year college degree in a related field preferred
  • Minimum 5 years in related field or Museum/nonprofit leadership
  • SHRM-CP or SHRM SCP preferred
  • Strong written and verbal communication skills
  • Excellent time and project management skills
  • Problem solving and conflict resolution skills
  • Proficient in use of basic computer software, Microsoft Office
  • Experience in creating and managing budgets
  • Proficiency with Blackbaud Altru POS management system
  • Attention to detail to ensure tasks are complete thoroughly and correctly
