About the position

The Chief Operating Officer (COO) at Well Life Medicine is responsible for leading and coordinating practice operations, ensuring service and operational excellence across multiple medical clinics. This role involves direct supervision of mid-managers and staff, fostering cohesion among practice locations, and managing the development and implementation of policies and procedures. The COO will also focus on increasing productivity, efficiency, and profitability while advising the clinic owner on operational insights and coaching employees.

Responsibilities

  • Supervise all practice staff with direct oversight of three mid-managers and approximately 30 staff members.
  • Foster cohesion among all practice locations and ensure operational excellence.
  • Manage and coordinate the development and implementation of policies and procedures.
  • Function in clinical and administrative support roles as needed.
  • Identify opportunities and problems, initiating plans for decision-making and problem-solving.
  • Ensure adequate staff coverage for all positions, including during sick and vacation times.
  • Work with Admin Lead to optimize scheduling protocols and ensure full provider schedules.
  • Make staffing recommendations based on productivity and patient needs.
  • Oversee the interviewing, hiring, and orientation of new staff members.
  • Ensure timely completion of employee evaluations and set appropriate goals for staff.
  • Collaborate with the Medical Director to address provider concerns and feedback.
  • Work with the Quality Manager to meet benchmarks and develop action plans for improvement.
  • Produce annual operation forecasting reports and strategies.
  • Identify new market opportunities to accelerate growth and present operational strategy recommendations.

Requirements

  • At least 5 years of progressively-responsible management level experience in Health Care Management.
  • Bachelor's Degree in Healthcare or Business Administration, or equivalent education and experience.
  • Strong organizational skills to manage multiple priorities effectively.
  • Ability to lead and work with diverse teams and individuals.
  • Excellent written and verbal presentation skills.
  • Strategic planning and business development experience.
  • Strong leadership and organizational skills.
  • Ability to work independently and be self-directed.

Nice-to-haves

  • Experience managing multiple medical clinics with annual revenue of $5-10 million.
  • Experience overseeing the opening of new clinic locations.
