About the position

The position is responsible for leading and directing all operational management components of a multi-location medical clinic. The role involves ensuring that the decisions made by governing bodies are effectively implemented and achieving their intended purposes. As a member of the senior management team, the individual will work closely with the Clinic President, CMO, Department Chairs, and other administrative staff to develop and manage the operational infrastructure of a fast-growing medical care delivery system.

Responsibilities

  • Provide leadership in the conception and development of objectives, policies, plans, programs, and budgets for consideration by the Executive Committee and Board of Directors.
  • Execute objectives, policies, plans, programs, and budgets as adopted by the governing bodies.
  • Interpret and implement policies and directives governing clinic operations as adopted by the Board of Directors.
  • Collaborate with the CMO and Department Chairs to prepare and implement recommendations on specific programs, services, and policies.
  • Assist in evaluating the clinical performance of providers and establish processes to meet patient service needs.
  • Report on operational matters and performance of various components, formulating responses and recommendations for continuous improvement.
  • Attend regular meetings of the Executive Committee and Board of Directors in an ex-officio, non-voting capacity, assisting in agenda preparation and presentations.
  • Conduct operational committee meetings and oversee the design, systems, and procedures for efficient workflow and best practices.
  • Provide measurement metrics and evaluate systems for consistency of identified outcomes, determining root causes and solutions when needed.
  • Establish effective governance models in collaboration with Departments and cultivate a dyad leadership model with Administrative and Physician leads.
  • Coordinate activities of the administrative management team at all department levels and keep key personnel informed of significant matters.
  • Review financial performance of departments and provide action plans based on identified issues.
  • Coordinate with clinic services leaders on compliance program implementation and ensure quality assurance measures are in place.
  • Manage long-term facility planning and oversight, ensuring physical space needs are adequate to achieve identified goals.
  • Assist the Human Resources Director in administering human resources policies and procedures for the clinic.
  • Coordinate with IT Director to meet information system and telecommunication needs throughout the clinic.
  • Develop and maintain core strength of IT services and effective system use and security.
  • Work with the Business Office Director to efficiently collect for services rendered and improve billing capture and outcomes.
  • Assist in developing systems for employee selection, employment, compensation, training, feedback, and discipline.
  • Model and manage compliance with personnel policies and budgets adopted, developing staffing plans and evaluating personnel use.
  • Maintain effective liaison with management, physicians, patients, and employees, and assist in public relations programs.
  • Represent the Clinic in key relationships with the business and civic community, hospital administration, vendors, and government agencies.
  • Coordinate with the Chief Financial Officer on budget, planning, finance review, contracts, risk management, and strategic planning.
  • Provide training to the operations team on report analysis and presentation to address performance issues.

Requirements

  • Five years of operational management experience in a growing multi-specialty clinic practice.
  • Proven experience in managing and optimizing operational processes in a value-based care environment.
  • Bachelor's degree in Business, Finance, or related field; Master's degree preferred.
  • Proven leadership abilities and problem-solving skills.
  • Excellent interpersonal and communication skills and change management experience.
  • Demonstrated ability to provide leadership and direct supervision to Administrators over various medical specialties.
  • Computer skills in Word, Excel, PowerPoint, and Outlook.
