About the position
The Office Assistant at The Goddard School plays a vital role in supporting daily office operations within a childcare center environment. This position requires a proactive and organized individual who can manage various administrative tasks while providing excellent customer service to clients and visitors. The role is essential for maintaining an efficient work environment and ensuring smooth operations in the front office.
Responsibilities
- Provide general administrative support including managing schedules, organizing meetings, and handling correspondence.
- Greet visitors, handle incoming calls, and manage the front desk with professionalism and courtesy.
- Prepare, file, and manage documents, reports, and records accurately and efficiently.
- Monitor and maintain office supplies inventory; place orders and ensure stock levels are adequate.
- Enter and update information in databases and spreadsheets with precision.
- Assist in scheduling meetings, preparing meeting rooms, and taking minutes when required.
- Sort, distribute, and handle incoming and outgoing mail and packages.
- Assist clients and visitors with inquiries and provide exceptional customer service.
- Ensure the office environment is clean, organized, and conducive to productivity; coordinate with maintenance staff as needed.
Requirements
- High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
- Previous experience in an office environment or administrative role is preferred but not required.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment (e.g., printers, copiers).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking skills with attention to detail.
- Friendly and professional demeanor with the ability to work well with others.
- Ability to handle unexpected issues and find practical solutions.
