About the position

The Childcare Director is responsible for overseeing the administrative functions of the childcare facility, ensuring efficient office operations, and providing support to the staff. This role involves managing documents, scheduling appointments, and assisting with event planning, all while maintaining a professional and welcoming environment for visitors and staff alike.

Responsibilities

  • Provide clerical and administrative support to ensure efficient office operations
  • Manage and organize office documents, files, and records
  • Answer phone calls, take messages, and direct calls to appropriate individuals
  • Greet and assist visitors in a professional and friendly manner
  • Schedule appointments and maintain calendars for staff members
  • Assist with event planning and coordination
  • Perform data entry tasks and maintain accurate records
  • Transcribe meeting minutes and other documents as needed
  • Assist with customer support inquiries via phone, email, or in-person
  • Coordinate travel arrangements and prepare expense reports

Requirements

  • Must have childcare experience
  • Must have assistant director experience
  • Previous experience as an administrative assistant or in a similar role is preferred
  • Proficient in using Google Suite (Docs, Sheets, Slides) for document management and collaboration
  • Knowledge of QuickBooks or other accounting software is a plus
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong attention to detail and accuracy in data entry and record keeping
  • Excellent verbal and written communication skills
  • Ability to multitask and work well under pressure in a fast-paced environment
  • Strong problem-solving skills and ability to handle confidential information with discretion

Nice-to-haves

  • Experience as a dental receptionist or in a medical office setting is desirable but not required
