About the position

The Childcare Office Assistant plays a vital role in supporting the daily operations of a childcare center. This position requires a proactive and organized individual who can manage various administrative tasks while providing excellent customer service. The ideal candidate will contribute to maintaining a smooth and efficient work environment, ensuring that both staff and visitors have a positive experience.

Responsibilities

  • Provide general administrative support including managing schedules, organizing meetings, and handling correspondence.
  • Greet visitors, handle incoming calls, and manage the front desk with professionalism and courtesy.
  • Prepare, file, and manage documents, reports, and records accurately and efficiently.
  • Monitor and maintain office supplies inventory; place orders and ensure stock levels are adequate.
  • Enter and update information in databases and spreadsheets with precision.
  • Assist in scheduling meetings, preparing meeting rooms, and taking minutes when required.
  • Sort, distribute, and handle incoming and outgoing mail and packages.
  • Assist clients and visitors with inquiries and provide exceptional customer service.
  • Ensure the office environment is clean, organized, and conducive to productivity; coordinate with maintenance staff as needed.

Requirements

  • High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
  • Previous experience in an office environment or administrative role is preferred but not required.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment (e.g., printers, copiers).
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking skills with attention to detail.
  • Friendly and professional demeanor with the ability to work well with others.
  • Ability to handle unexpected issues and find practical solutions.
