About the position

The Church Administrator/Executive Assistant at Faith Lutheran Church is a pivotal role responsible for the day-to-day operations and facilities management of the church. This position requires a proactive individual who can oversee all office operations and manage church appointments effectively. The administrator will work closely with the senior pastor to ensure smooth communication and support for the church's ministry activities. This includes maintaining good working relationships with the congregation and staff, as well as being the first point of contact for any pastoral emergencies. In this role, the administrator will be tasked with various communication responsibilities, such as keeping the pastor informed about members' emergencies and illnesses, managing the church calendar, and creating materials for Sunday bulletins and special services. The administrator will also be responsible for the church's online presence, including maintaining the church website and managing social media communications. Facility maintenance is another critical aspect of this position, which involves maintaining communication with vendors and coordinating facility maintenance and repair. The administrator will also handle administrative tasks such as maintaining church files, managing service and equipment contracts, and coordinating with program directors regarding the use of church facilities. This role requires a strong understanding of office management and the ability to work collaboratively with various stakeholders within the church community.

Responsibilities

  • Oversee all office operations and church appointments.
  • Provide support to the senior pastor and maintain good working relationships with the congregation and staff.
  • Communicate with the pastor regarding emergencies, illnesses, and current events.
  • Create materials for Sunday bulletins and special services.
  • Manage and maintain the church calendar, including public and private schedules.
  • Respond to phone calls, emails, and deliveries in a professional manner.
  • Manage the weekly email, mail, and church bulletins.
  • Maintain the church's Facebook presence and contribute to the church website.
  • Explore and implement marketing strategies for the church.
  • Maintain communication with vendors for facility maintenance.
  • Maintain church files and documentation for easy retrieval.
  • Coordinate with program directors regarding building use and scheduling.
  • Manage computer network maintenance and data backup with IT professionals.
  • Open and sort mail, enter data, and maintain the ICON Member Portal System.
  • Order inventory supplies and coordinate facility maintenance and repair.

Requirements

  • Associate degree in office administration or business from an accredited institution or comparable experience.
  • At least one year of office management experience is desirable.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Publisher, Outlook).
  • Knowledge of the most recent Windows and Apple applications.
  • Experience in desktop publishing and design of bulletins, flyers, and brochures.
  • Familiarity with Google services and tools.
  • Excellent verbal and written communication skills.
  • Willingness to continuously improve administrative skills.
  • Dependable attendance and a compassionate attitude towards the needs of the pastor and congregation.

Benefits
