About the position

Trinity Lutheran Church in Pleasanton, CA, is seeking a passionate and creative individual to fill the role of Church Office Administrator. This position is vital for ensuring the efficient day-to-day operations of the church office and serves as an integral member of the staff and church community. The Church Office Administrator will work closely with church leadership to support the ministries and members of the congregation, recognizing the sacred nature of this work. The Church Office Administrator will oversee the organization of the church office, manage office resources, and act as one of the first points of contact for the community and congregation. Key responsibilities include preparing weekly bulletins and other printed materials, coordinating with the worship team, pastor, altar guild, and audio/visual team for Sunday services, maintaining office files, and managing correspondence for the congregation. The administrator will also be responsible for scheduling and reserving church facilities, preparing weekly news blasts, managing social media presence, and updating the church website with relevant information. Proficiency in various applications, including Microsoft Office Suite, Google Mail and Drive, Adobe, Breeze CMS, Tithely, MailChimp, and ProPresenter, is essential for this role. As the primary contact for the church, the Office Administrator plays a crucial role in facilitating communication between the Servant Leadership Team, Ministry Teams, Staff, and outside organizations. The ideal candidate will support the mission and values of Trinity Lutheran Church, possess strong communication skills, and demonstrate a warm and welcoming demeanor. This part-time position offers a pay rate of $25.00 - $30.00 per hour, with benefits including paid time off and opportunities for continuing education or training.

Responsibilities

  • Oversee church office organization and stewardship of office resources.
  • Act as a primary point of contact for the community and congregation.
  • Prepare weekly bulletins and other printed materials as needed.
  • Assist and coordinate with worship team, pastor, altar guild, and audio/visual team for Sunday worship.
  • Maintain office files, including utility fees and outside contracts.
  • Prepare and record correspondence for the congregation.
  • Manage the church calendar, including scheduling and reservations.
  • Prepare weekly news blasts and other mailings as needed.
  • Assist with managing the church's social media presence.
  • Update the church website and social media platforms with service information, news, events, and calendar updates.
  • Effectively use various applications including Microsoft Office Suite, Google Mail and Drive, Adobe, Breeze CMS, Tithely, MailChimp, and ProPresenter.

Requirements

  • Bachelor's degree or significant administrative experience, preferably in a church or non-profit setting.
  • Minimum of 3 years of administrative experience.
  • Proficiency in Microsoft Office Suite for at least 1 year.
  • Strong attention to detail and ability to prioritize projects.
  • Excellent spoken and written communication skills.
  • Ability to be warm, welcoming, and confidential as needed.
  • Willingness to submit to and pass a criminal background check.
