About the position

The Civil & Warrants Clerk position at Aransas County involves providing administrative assistance in the Warrant & Civil Division of the Sheriff's Office. The role includes processing legal documents, maintaining records, and assisting with warrant management, while ensuring effective communication with various stakeholders including law enforcement and the public.

Responsibilities

  • Receive and process a variety of legal documents such as subpoenas, protective orders, and temporary restraining orders.
  • Intake Civil Process documents into Odyssey and forward to Civil Process Deputy for service; exit completed documents from Odyssey for return to proper courts.
  • Provide monthly reports to the Sheriff.
  • Intake, process and enter warrants from all Aransas County Courts in National/State database as needed (TCIC/TLETS).
  • Place detainers with Texas Department of Criminal Justice for subjects in State prison with Felony or Misdemeanor A/B warrants and process in the Department of Public Safety database (TCIC/TLETS).
  • Enter warrants in local system from other agencies when offense occurred in Aransas County.
  • Maintain warrant filing system, including preparing labeled folders for each defendant, filing and clearing warrants for return to issuing agency when completed.
  • Assist Transport Division concerning defendants in other agencies with Aransas County hold.
  • Perform receptionist duties by receiving calls from members of the public, law firms, other court jurisdictions and law enforcement agencies, responding to inquiries, providing information within scope of responsibility and referring calls to other co-workers as appropriate.
  • Perform general office work, including routine filing, copying and data processing for deputies handling civil actions and warrants.
  • Receipt monies for Civil fees and/or warrants from outside businesses, attorneys and individuals.

Requirements

  • High school diploma or its equivalent (GED).
  • 3 to 12 months related experience and/or training, or equivalent combination of education and experience.
  • TCIC/TLETS Full Access Certification.

Nice-to-haves

  • Knowledge of basic filing systems and general office procedures.
  • Knowledge of the functions, policies and procedures of the criminal justice system.
  • Knowledge of the County court system and court procedures.
  • Knowledge of various state codes and federal agencies.
  • Basic mathematical principles.
  • Principles and procedures of record management.
  • Knowledge of all major Microsoft Office applications.
