About the position

The Clear and Legible Clerk (CLR) in Healthcare Administration is responsible for supporting the daily functions of specialty care referrals, beneficiary counseling, and referral tracking at MacDill Air Force Base. This role involves managing patient referrals, providing education, and ensuring timely processing of appointments while delivering excellent customer service to patients and staff.

Responsibilities

  • Support the daily functions of specialty care referrals, reviews, and coordination.
  • Initiate, follow, manage, and close all referrals within timeliness standards.
  • Provide patient education regarding specialty care referrals, procedures, and labs.
  • Review initial specialty care and deferred-to network primary care referrals for administrative completeness.
  • Verify patient registration and update demographic information in medical systems.
  • Determine patient eligibility for services and schedule specialty referral appointments.
  • Document patient appointments and process ROFRs within outlined time limits.
  • Coordinate with specialty referral clinics and provide pre-appointment instructions to patients.
  • Print diagnostic reports and treatment profiles for patients.
  • Submit referrals for medical necessity and appropriateness review when required.
  • Generate and forward referral-related patient telephone consults to the appropriate provider/team.
  • Track and obtain initial specialty care and deferred to Network primary care referrals.
  • Import/scan CLRs into the correct patients' medical record.
  • Prepare referral management data reports/metrics using referral tracking data tools.
  • Advise patients of their referral eligibility, beneficiary status, and health treatment options.
  • Direct patients to travel coordinators and provide information on travel-related benefits.
  • Provide medical ethics, telephone etiquette, and clerical skills for receptionist duties.
  • Deliver positive, courteous, and professional customer service support.

Requirements

  • 2 years of healthcare administrative experience in an inpatient or outpatient care setting (highly preferred).
  • Knowledge of ICD-9 coding (highly preferred).
  • Knowledge of TRICARE benefits (highly preferred).
  • Excellent customer service skills and experience.
  • Working knowledge of HIPAA regulations.
  • Basic Life Support (BLS) certification.
  • High school diploma or GED equivalency.
  • General office administrative and clerical skills.
  • Excellent communication and strong organizational skills.
  • Proficiency in Microsoft applications (Windows, Word, Excel).
  • Ability to meet deadlines and understand general medical ethics.

Nice-to-haves

  • Experience in a military healthcare environment.
  • Familiarity with electronic health records (EHR) systems.
