About the position

The Clerical Assistant for Community Partnerships at Monmouth Medical Center plays a vital role in supporting the Marketing leadership to ensure that all messaging and branding aligns with the standards set by RWJBarnabas Health (RWJBH). This position involves a variety of tasks including assisting with sponsorships, marketing initiatives, finance and budgeting, as well as community outreach efforts. The incumbent will be responsible for compiling and organizing sponsorship requests from community stakeholders and non-profit organizations seeking support from MMC and MMCSC. This role requires effective communication and collaboration with various departments including Community Health, Marketing, and Government Relations to assess the relationship history with requesting organizations and determine the strategic fit with sponsorship guidelines. In addition to managing sponsorship requests, the Clerical Assistant will ensure that all approved requests align with the core mission of MMC and MMCSC, which focuses on promoting positive community improvements, aiding underserved populations, and enhancing health and wellness. The role also involves preparing annual sponsorship budgets, tracking and maintaining records for quarterly reconciliation with the Finance Department, and executing sponsorship activation components such as submitting invoices and ad requests to the Marketing Department. The assistant will serve as a liaison with sponsored organizations, providing them with finalized ads and materials, and will also be responsible for recruiting hospital staff for event participation. The position requires attendance at events as requested by hospital leadership and involves raising awareness of the sponsorship request portal to ensure that individuals and organizations are directed appropriately. The Clerical Assistant will collaborate with Marketing leadership to promote sponsorship activities on social media platforms and work with the corporate sponsorship lead to ensure coordination between local MMC and RWJBarnabas Health sponsorships. This role is essential in fostering community partnerships and enhancing the visibility of the hospital's contributions to local health initiatives.

Responsibilities

  • Compile and organize various sponsorship requests from community stakeholders and non-profit organizations.
  • Confer with Community Health, Marketing, and Government Relations on relationship history with requesting organizations.
  • Ensure messaging and branding aligns with RWJBH standards.
  • Communicate details and historical funding to the CEO regarding sponsorship requests.
  • Execute sponsorship activation components including submitting invoices and ad requests.
  • Serve as the liaison with sponsored organizations and provide finalized ads and materials.
  • Recruit hospital staff for event participation with guidance from the CEO.
  • Track and maintain records in the database for quarterly reconciliation with the Finance Department.
  • Prepare annual sponsorship budgets for MMC and MMCSC.
  • Notify Community Health Department about events requiring outreach.
  • Support Community Health Department with logistics for events requiring clinical services.
  • Assist in identifying appropriate marketing collateral for events.
  • Attend events as requested by hospital leadership.
  • Raise awareness of the sponsorship request portal and direct inquiries appropriately.
  • Collaborate with Marketing leadership to promote sponsorship activity on social media platforms.
  • Coordinate between local MMC and RWJBarnabas Health sponsorships.

Requirements

  • Associates degree required.
  • 1-3 years of Marketing/Communications experience preferred.
  • Strong written and verbal communication skills.
  • Proficient in computer skills including spreadsheets and data management.
  • Ability to meet deadlines and write reports and business correspondence.

Nice-to-haves
