About the position

The Clerical Associate position at Potomac Healthcare Solutions involves providing essential administrative support related to patient care in a healthcare setting. The role is crucial for ensuring smooth operations within the clinic, particularly in managing patient appointments and maintaining accurate patient records. The Clerical Associate will be responsible for scheduling clinic appointments, which includes making necessary edits and additions to outpatient clinic appointment recalls. This position also requires checking patients in and out of the clinic, which involves verifying and editing patient information and insurance details. Additionally, the associate will complete means tests and enter results while ensuring patient confidentiality is maintained at all times. Another key responsibility includes preparing and organizing the patient check-in list along with medication lists for the following day. The Clerical Associate will input all patient information into the computer system and verify that all clinical reminders due at the time of each patient visit are completed prior to check-out. Effective communication is vital in this role, as the associate will answer phones and relay messages in a timely manner. The position also requires compliance with all training requirements and a commitment to providing excellent customer service to veterans, colleagues, and clinic visitors, both in person and over the phone. This role is designed for individuals who are organized, detail-oriented, and possess strong customer service skills, as they will be the first point of contact for patients and play a significant role in their healthcare experience.

Responsibilities

  • Assist with administrative support related to patient care.
  • Schedule clinic appointments and manage outpatient clinic appointment recalls.
  • Check patients in and out of the clinic, verifying patient information and insurance.
  • Complete means tests and enter results while maintaining patient confidentiality.
  • Print, prepare, and organize patient check-in lists with medication lists for the following day.

  • Comply with all training requirements and maintain certifications.

Requirements

  • Minimum of one (1) year of experience as a Healthcare Admin or in a clerical role.
  • High School Diploma/GED.
  • Must be credentialed and remain in good standing through the Veterans Health Administration (VA).
  • Current certification in Basic Life Support (BLS) and ACLS as specified by individual VAMC contract.
  • Proficiency in written and spoken English.
  • Strong computer skills, including EMR experience.
  • Demonstrated high-quality customer service and organizational skills.
  • Completion of VA mandatory training as requested.
