The Clerical Bookkeeper provides essential professional support for the Accounting Department at the International Union, UAW. This role serves as a vital liaison between various department staff, UAW staff, and affiliates, reporting directly to the Director of the Accounting Department. The primary responsibility of the Clerical Bookkeeper is to manage transactions across multiple accounting systems while adhering to UAW's established processes for financial reporting. This includes compiling data, verifying account balances, reconciling cash accounts, preparing journal entries, and posting to the general ledger. The role also involves maintaining the chart of accounts, completing month-end close tasks within specified time frames, and preparing financial reports for distribution on behalf of the Secretary-Treasurer, ensuring compliance with the Financial Close and Reporting Policy. In this position, meticulous administrative support is required, with a strong emphasis on confidentiality. The Clerical Bookkeeper must perform job duties within scheduled deadlines and function effectively as a liaison with other department staff and affiliates. A thorough understanding of organizational policies, procedures, and protocols is essential. The role demands exceptional accuracy in balancing and posting transactions to the general ledger across various accounting systems. Additionally, the Clerical Bookkeeper will assist in the development and assessment of office systems, procedures, and operations, review and process incoming correspondence, and prepare appropriate communications in response. Daily tasks include accessing bank accounts to check cash balances, posting pending journals to the general ledger, maintaining the chart of accounts, preparing month-end close journal entries, reconciling cash accounts, running general ledger and trial balance reports for auditors, and completing necessary tasks associated with month-end and year-end close. The Clerical Bookkeeper will also prepare annual LM2 reports and provide accurate data entry for all monetary transactions, assisting with data requests from both internal departments and external service providers, such as independent outside auditors and internal audit providers. The role requires proficiency in using UAW's Internal Systems, including Accounting Systems, MyUAW, and the Local Union Information System.
