About the position

The Clerical Support role at Ward Trucking is a part-time position focused on providing exceptional customer service and performing various clerical duties to support operations and sales. The primary goal is to ensure customer satisfaction and retention while maintaining efficient clerical processes. This role involves direct interaction with customers, handling billing inquiries, coordinating problem resolutions, and supporting the service center's operational needs.

Responsibilities

  • Answer telephones in accordance with Ward standards using applicable marketing greeting.
  • Review Report FRR333 - Non Credit Report every morning to identify billing errors and cash-only customers.
  • Call customers on Report FRR067P - DRC/COD Payments Not Picked up at Delivery to inform them of payment terms.
  • Coordinate problem resolution between customers, territory sales managers, and operations personnel.
  • Expedite and trace shipments, correct errors in freight billing, and provide rate quotes as requested by customers.
  • Direct calls on O S & D issues to the service center's O S & D Specialist or assigned backup person.
  • Support service center driver/sales huddle plans and local business development plan.
  • Process customer requests for pickups, proof of delivery, and bill of lading in a timely manner.
  • Provide internal customer service to personnel from other service center locations.
  • Create daily P & D driver delivery manifests with speed and accuracy.
  • Schedule delivery appointments for freight and accurately enter information into the computer.
  • Order supplies for the service center and maintain sufficient quantities on hand.
  • Perform clerical support duties including typing correspondence, maintaining files, photocopying, and faxing.
  • Enter delivered status on interline bills daily.
  • Prepare stripping manifest and update bills for selected customers and/or partners.
  • Assist dispatcher with computerized dispatch process when necessary.
  • Promptly check in P & D drivers and accurately disseminate paperwork accordingly.
  • Count, verify, and place cash in a safe place when checking in drivers.
  • Enter all deliveries into the computer along with delivery exceptions and customer signatures.
  • Fax bills to Central Billing Department and answer questions from central billers.
  • Create billing for locals and specialty bills in a timely manner.
  • Prepare linehaul manifests for dispatching linehaul drivers.
  • Meet attendance and punctuality commitments consistently.
  • Cooperate with others to achieve company goals and maintain good working relationships.

Requirements

  • Must be customer focused with good people skills.
  • Excellent communication skills and basic knowledge of telephone etiquette.
  • Previous clerical experience in a business atmosphere.
  • Proficient data entry skills with attention to detail.
  • Previous experience in the motor carrier industry is desirable.
  • Ability to work required hours (night shift, overtime if applicable) and travel if necessary.

Nice-to-haves

  • Experience in LTL Clerical (1 year preferred)
