About the position

The Facilities/Maintenance Data Entry Clerk plays a crucial role in providing clerical support and data entry for the facilities and maintenance department. This position is essential for ensuring that all work orders, both scheduled and emergency, are accurately recorded and managed. The clerk will be responsible for receiving campus calls related to work orders and inputting the necessary data to facilitate the development of these orders. Additionally, the clerk will generate weekly management reports that detail work order backlogs, progress, problems, work status, material and labor costs, and employee and accounting data relevant to the Facilities and Maintenance areas. In this role, the clerk will maintain comprehensive records of district-wide vehicles, equipment, tools, work orders, and facility information. This includes keeping track of all incidents of vandalism across the district and submitting weekly reports to the appropriate directors. The clerk will also prepare monthly reports for board and committee presentations, ensuring that all necessary information is accurately compiled and presented. The position requires adherence to safety rules and policies as outlined in the SISD safety program, and the clerk is expected to support the goals and objectives of the school district while following all district policies. Regular attendance is crucial to avoid disruptions in district operations, and the clerk must provide optimal customer service to students, employees, parents, community members, and other stakeholders. The role may also involve performing additional duties as assigned by the appropriate supervisor.

Responsibilities

  • Receives all campus calls relating to work orders and inputs data for the development of work orders both scheduled and emergency.
  • Provides weekly management reports relating to work order backlogs, progress, problems, work status, material and labor costs, employee and accounting data for Facilities and Maintenance areas.
  • Maintains all inventory of district-wide vehicles, equipment, tools, work orders, and facility information.
  • Maintains records on all vandalism district-wide and submits weekly reports to the appropriate Directors.
  • Presents monthly reports to appropriate Directors for Board and Committee presentations.
  • Maintains all boiler, gas, and CFC's inspection records.
  • Upholds and adheres to safety rules and policies of the SISD safety program.
  • Supports the goals and objectives of the school district and follows all district policies.
  • Demonstrates the ability to attend work on a regular and routine basis to avoid disruption to district operations.
  • Performs any other duties assigned by the appropriate supervisor.
  • Provides optimal customer service to all students, employees, parents, community members, and any other stakeholders of the district.

Requirements

  • High school diploma/equivalent or higher.
  • Minimum of three (3) years' experience in data entry and one (1) year experience in word processing.
  • Knowledge of facility planning, construction, or similar area.
  • Must possess typing speed of 40 words per minute.
  • Knowledge in spreadsheets and financial management software.
  • Must demonstrate ability to effectively communicate with district employees.
