About the position

The Front Office Clerk at Legacy Community Health plays a crucial role as the first point of contact for patients, whether over the phone or in person at the clinic. This position is integral in shaping the patients' first impressions of the organization, which can significantly influence the long-term patient-provider relationship. The clerk is responsible for a variety of essential functions that are critical to the smooth operation of the clinic and the overall patient experience. Key responsibilities include answering incoming calls and routing them appropriately, performing client intake, and notifying the relevant staff of a client's arrival. The clerk is also tasked with entering patient information into the appropriate databases, assisting the volunteer coordinator with volunteer management, and following appointment procedures as set by management. Additionally, the clerk must adhere to cash handling procedures when receiving client payments, complete opening and closing procedures, and maintain an orderly clinic lobby. The Front Office Clerk also processes lab results as assigned by the Practice Manager and participates in the Performance Improvement Program. It is essential for the clerk to demonstrate respect and regard for the dignity of all patients, families, visitors, and fellow employees, ensuring a professional and courteous environment. The role requires effective teamwork to facilitate the department's goals and objectives, working within the context of a primary care medical home to promote timely access to care and culturally sensitive patient care. Safety is a priority, and the clerk must attend all required safety training programs, operate equipment safely, and maintain a safe environment by following Legacy's exposure control plans and demonstrating knowledge of protective barrier equipment. Overall, the Front Office Clerk is a vital member of the healthcare team, contributing to the mission of Legacy Community Health to provide comprehensive care and improve the overall wellness of the community.

Responsibilities

  • Answers incoming calls and routes them appropriately.
  • Performs client intake and notifies appropriate staff of the client's arrival.
  • Enters patient information into the appropriate databases.
  • Assists the volunteer coordinator with the management of volunteers.
  • Follows appointment procedures as set by management.
  • Follows cash handling procedures when receiving client payments.
  • Completes opening and closing procedures.
  • Keeps clinic lobby straight and orderly.
  • Processes lab results as assigned by Practice Manager.
  • Participates in the Performance Improvement Program.
  • Demonstrates respect and regard for the dignity of all patients, families, visitors and fellow employees.
  • Promotes effective working relations and works effectively as part of a team.
  • Works within the context of a primary care medical home, applying a team-based approach to care.
  • Attends all required safety training programs and can describe responsibilities related to safety.
  • Operates assigned equipment and performs all procedures in a safe manner.
  • Maintains work area and equipment in condition required by Legacy standards.
  • Demonstrates proper body mechanics in all functions.
  • Checks on the patient's environment and equipment to ensure safety.
  • Reports safety concerns promptly to appropriate personnel.
  • Follows Legacy's exposure control plans/blood-borne and airborne pathogens.
  • Demonstrates knowledge of techniques, procedures and correct use of protective barrier equipment.
  • Assures a safe environment by instituting appropriate control measures.
  • Attends annual education programs.

Requirements

  • High school graduate or equivalent required.
  • Bilingual in English/Spanish preferred.
  • Ability to meet Legacy Community Health's EPIC proficiency requirements.
  • Pleasant, professional, and articulate phone voice.
  • Ability to multi-task and handle many incoming calls or patients at once.
  • Efficient and accurate data-entry skills.
  • Computer literacy and multi-line phone or switchboard experience.
  • Basic knowledge such as basic math, alphabetical or numerical filing may also be required.
