About the position

The Front Office Clerk Lead is often the first person a patient may interact with over the phone or upon arriving at a clinic. Therefore, the Front Office Clerk is integral to shaping the patients' first impression of the organization, which could shape the patient-provider relationship for the long-term. This position plays a crucial role in ensuring that patients feel welcomed and supported from their very first contact with Legacy Community Health. The Clerk Lead will manage the front office operations, ensuring that all administrative tasks are completed efficiently and effectively, while also providing exceptional customer service to patients and their families. At Legacy Community Health, we are committed to providing comprehensive care to community members regardless of their ability to pay. Our goal is to treat the entire patient while improving their overall wellness and quality of life. The Front Office Clerk Lead will assist in promoting healthy behaviors and offering resources such as literacy classes, family planning services, and nutrition and weight management information. This role is vital in supporting the mission of Legacy Community Health, which has expanded to over 50 clinics in Houston and surrounding areas, providing a wide range of services including adult primary care, pediatrics, OB/GYN, dental, vision, and behavioral health. The ideal candidate will be a team player who can handle multiple tasks simultaneously, ensuring that the front office runs smoothly and efficiently. They will be responsible for managing incoming calls, scheduling appointments, and assisting patients with their inquiries. The Front Office Clerk Lead will also be expected to maintain accurate records and ensure that all patient information is handled with confidentiality and professionalism.

Responsibilities

  • Serve as the first point of contact for patients, both in person and over the phone.
  • Manage front office operations, including scheduling appointments and handling patient inquiries.
  • Ensure efficient and accurate data entry and record-keeping.
  • Provide exceptional customer service to patients and their families.
  • Assist in training and supervising front office staff as needed.
  • Maintain a pleasant and professional demeanor at all times.

Requirements

  • High school graduate or equivalent required.
  • Bilingual in English/Spanish preferred.
  • Pleasant, professional, and articulate phone voice.
  • Ability to multi-task and handle many incoming calls or patients at once.
  • Efficient and accurate data-entry skills.
  • Computer literacy and multi-line phone or switchboard experience.
  • Basic knowledge such as basic math, alphabetical or numerical filing may also be required.

Nice-to-haves

  • Experience in a healthcare setting is a plus.
  • Familiarity with electronic health records (EHR) systems.
