About the position

The Clerk III position is responsible for performing advanced clerical tasks that support the operations of the assigned department within the Child Nutrition sector. This role involves a variety of duties including data entry, record maintenance, and general clerical support, ensuring efficient departmental operations and adherence to established policies.

Responsibilities

  • Provide general clerical support to the assigned department, including serving as a mail clerk and maintaining records of invoices.
  • Categorize and file purchase orders, invoices, statements, etc.
  • Request services or supplies from vendors/contractors by phone.
  • Prepare electronic spreadsheet budget reports or process the annual budget for the department.
  • Answer phone inquiries, providing information, transferring calls, or taking messages as applicable.
  • Order office supplies, forms, and maintain supply/form inventories.
  • Perform a wide range of data entry processing in a central office, gathering and recording employee work order data.
  • Maintain inventory data files and support staff as required or requested.
  • Review requisitions for accuracy and ensure approvals are in place, entering data to complete purchase orders.
  • Prepare, file, and maintain a variety of department-related documentation, including payroll files and absence/substitute reports.
  • Gather and record student attendance, employee work schedules, or timecards.
  • Prepare correspondence, assemble and disseminate materials and mailings, and assist with department activities.
  • Maintain supervisor's/manager's calendar, make appointments, and schedule travel.
  • Assist with student/financial management system, focusing on daily transactions of invoicing, credits, billing, and petty cash management.

Requirements

  • High School diploma or GED, supplemented by courses in keyboarding and office practices.
  • Minimum of 3 years of clerical experience, preferably in an educational office environment.
  • Experience in general office procedures, report preparation, record maintenance, data collection, and processing work orders.
  • Proficient in Microsoft Office and database management.
  • Thorough knowledge of business office procedures, practices, and equipment, as well as business English and office terminology.
  • Ability to understand and follow oral and written directions.
  • Effective communication skills, both orally and in writing.
  • Ability to work independently on assigned tasks and maintain confidentiality.
