About the position

The Clerical / Office Support position at Caris HealthCare is a full-time role that plays a crucial part in the administrative operations of the hospice. The successful candidate will be responsible for a variety of clerical tasks that support the Office Manager and ensure the smooth functioning of the office. This role requires a working knowledge of the agency's structure, human resource policies, and administrative procedures. As the first point of contact for visitors and callers, the Clerk will courteously greet customers and co-workers, providing a welcoming atmosphere in the office. In addition to reception duties, the Clerk will manage a multi-line phone system, directing calls and taking messages as necessary. The position involves reviewing timesheets for accuracy, maintaining the flow of information to the Corporate office for billing, payroll, accounting, and HR purposes. The Clerk will also assist in maintaining personnel files for staff and volunteers, ensuring that all records are kept up to date and compliant with company policies. The role includes assisting the Office Manager with the orientation of new employees, preparing statistical reports, and managing office supplies and medical forms. The Clerk will be expected to cross-train with the Office Manager to ensure continuity of operations during absences. This position is ideal for someone who is organized, detail-oriented, and possesses strong communication skills, particularly in a medical setting.

Responsibilities

  • Answers multi-line phone system, directs calls or takes messages.
  • Reviews timesheets for accuracy and completion.
  • Maintains the flow of information to the Corporate office for purposes of billing, payroll, accounting, and HR.
  • Possesses knowledge of company personnel policies and benefits.
  • Assists Office Manager to assure all personnel files, for staff and volunteers, are maintained properly.
  • Assists Office Manager in the Orientation of all new employees.
  • Assists Office Manager in the preparation of various statistical reports.
  • Maintains an appropriate level of office supplies, medical supplies, and forms.
  • Assists Office Manager in timely preparation of patient medical records.
  • Cross trains with the Office Manager to ensure all key tasks continue uninterrupted when the Office Manager is away from the office.

Requirements

  • High school graduate or equivalent.
  • Current MS Office computer software experience (Word, Excel, and PowerPoint).
  • Ability to accurately type 60 wpm.
  • Clerical/secretarial experience, preferably in the medical field with knowledge of medical terminology.
  • Ability to effectively communicate with medical personnel.
  • Strong organizational and interpersonal skills.
  • Assertive with problem-solving skills and ability to prioritize job duties.
  • Ability to accept supervision and follow instructions.
  • Well organized, neat, accurate with good attention to detail.
  • Ability to follow established procedures and suggest changes for smoother operations.
