About the position

The Clerk Typist II / Matron position involves providing clerical support for processing inmates in and out of the jail, maintaining inmate database information, and performing various administrative tasks under the supervision of an Office Manager. This full-time role is essential for ensuring the safety and security of inmates, officers, and visitors, and includes responsibilities such as data entry, document preparation, and public interaction.

Responsibilities

  • Types letters, reports, and memoranda from dictation equipment or other sources.
  • Performs data entry from police reports.
  • Prepares daily warrant request forms for the Prosecutor's Office.
  • Completes and enters a variety of departmental forms including abandoned vehicle reports.
  • Processes firearm registration forms and related documents.
  • Checks and compiles statistical data for records and reports.
  • Answers inquiries of callers and visitors, utilizing knowledge of departmental procedures and policies.
  • Greets the public in various office settings including the Adult Correctional facility.
  • May assist the public in fingerprinting applicants through the firearms registration process.
  • Accepts cash payment on behalf of the department for various public services.
  • Processes paperwork associated with inmates being housed in the Adult Correctional facility.
  • Sorts incoming and outgoing mail and assists in organizing inmate visits.
  • Assists in processing quarterly sex offender registrations and updates registry information as appropriate.
  • In the absence of female Corrections officers, may process and search female prisoners.

Requirements

  • High school diploma or GED required.
  • Previous secretarial experience and/or data entry skills preferred.
  • Ability to use transcription equipment required.
  • May be required to become LEIN certified.
  • Fast and accurate keyboarding skills.
  • Basic knowledge of Michigan Court Rules and court processes.
  • Basic knowledge of legal terminology.
  • Accurate mathematical skills.
  • Working knowledge of privacy requirements related to court records.
  • Knowledge of proper techniques for pat downs and strip-searches.
  • Good verbal and written communication skills.
  • Good interpersonal and human relations skills.

Nice-to-haves
