About the position

The Client Aviation Specialist is a pivotal role within Jet Aviation AG, primarily responsible for supporting the aircraft management department assigned to Jet Aviation Flight Services (JAFS) managed clients. This position entails a variety of tasks aimed at ensuring the smooth operation of client services, including conducting operational analysis, financial forecasting, and reviewing financial reporting tools. The specialist will also be responsible for validating and approving expense reports, along with other functions as assigned by the Client Aviation Directors. This hybrid role requires the specialist to work at least three times a week from the office located at the Burbank airport in California. In this role, the Client Aviation Specialist will be the first point of contact for clients, providing exceptional service related to billing inquiries, service requests, and addressing any suggestions or complaints. The specialist will resolve customer and vendor inquiries effectively, coordinating with internal teams as necessary. Additionally, the role involves providing product and service information to customers, identifying upselling opportunities, and implementing programs to support customer needs. The specialist will also manage the onboarding and termination of aircraft and client project activities, ensuring that client requirements align with Jet Aviation protocols. The position requires a proactive approach to managing and reconciling all assigned aircraft crew expenses, administering internal processes related to assigned accounts, and creating client data reports, budgets, and dashboards in collaboration with aircraft team members. The Client Aviation Specialist will also support collection and risk mitigation efforts, ensuring that amendments to client agreements are coordinated and documented according to internal processes and client requirements. Representing Jet Aviation as a cohesive entity, the specialist will engage with industry groups, regulatory bodies, and the General Dynamics network, embodying the company's values of trust, honesty, alignment, and transparency.

Responsibilities

  • Provides new and existing customers with the best possible service in relation to billing inquiries, service requests, suggestions and complaints
  • Resolves customer and vendor inquiries or complaints fairly and effectively, coordinating with internal teams as needed
  • Provides product and service information to customers and identifies upselling opportunities to maintain and increase income streams from customer relationships
  • Recommends and implements programs to support customer needs, providing materials and guidance as needed
  • Create and maintain aircraft and client onboarding (and termination) project activities, connecting client requirements and Jet Aviation protocols
  • Revise onboarding activities checklists as needed
  • Liaises with client and recruiters to coordinate crew interviews, crew compensation market data, or supplementary crew requirements according to client specifications and business need
  • Manage and reconcile all assigned aircraft crew expenses
  • Administer internal ePAFs, SharePoint sites, and proprietary platform (i.e., JetPay, CRM) processes relating to assigned accounts, ensuring client data is accurate and maintained
  • Create and support aircraft sell sheets and marketing efforts, if applicable
  • Create client data reports, budgets, and dashboards in conjunction with aircraft team members
  • Support collection and risk mitigation efforts with client service team members
  • Ensure amendments to client agreements (i.e., leases, certificates of insurance, etc.) are coordinated and documented according to internal processes and client requirements
  • Represent Jet Aviation as one company internally and externally with industry groups, regulatory bodies and the General Dynamics network

Requirements

  • Bachelor's degree (B.S. or B.A.) from a four-year College or University strongly preferred
  • 4-7 years of work experience in a similar role
  • Ability to use Microsoft Office Suite products
  • At least 4 years of customer relations experience
  • Ability to travel for company meetings, industry events and client visits
  • Ability to work a flexible schedule
  • Ability to attend meetings and training programs

Nice-to-haves

  • Basic understanding of Corporate Aviation experience highly preferred
  • Accounting experience highly preferred
  • Experience working with CTA/FOS and SAP is desirable
  • Excellent communication skills
