About the position

The Client Care Coordinator (Mental Health) is responsible for managing client intake and scheduling, ensuring effective communication between clients and staff, and supporting the overall administrative functions of the mental health practice. This part-time role requires strong organizational skills and the ability to build community partnerships while maintaining a professional demeanor in all interactions.

Responsibilities

  • Answer intake calls and screen new clients.
  • Schedule clients for appointments and evaluations.
  • Send paperwork and add clients to the Electronic Health Record (EHR).
  • Learn and utilize a new EHR program.
  • Correspond with the billing coordinator promptly.
  • Order office supplies as needed.
  • Train and onboard new staff members.
  • Onboard new clients and follow up with them according to protocol.
  • Build community partnerships to enhance service delivery.
  • Create flow charts for visual aids in processes.
  • Plan, participate in, and execute office staff events.
  • Provide e-commerce support as required.
  • Assist in other administrative duties as assigned.
  • Maintain spreadsheets and Monday sheets for all intakes.
  • Coordinate care and data between various staff members including psychiatrists, therapists, and billing teams.
  • Attend monthly meetings with the leadership team.
  • Maintain a professional demeanor when interacting with community providers, staff, and clients.
  • Use company email and phone for all company-related correspondence.

Requirements

  • Undergraduate degree in Social Work; LMSW strongly preferred.
  • Experience in collaborative care approaches.
  • Experience in building community relationships with healthcare providers.
  • Strong organizational and time management skills.
  • Strong technical skills in project management applications and MS Excel suite.
  • Strong professional writing, phone, and email etiquette.
