About the position

We are seeking a self-motivated, task-driven, and team-focused Client Care Coordinator/Team Operations Manager to join our dynamic team. This part-time position is based in Austin, TX, and offers a hybrid work environment. The ideal candidate will possess a high I personality, demonstrating strong interpersonal skills and the ability to work collaboratively with others. The role encompasses a variety of responsibilities aimed at enhancing client relations and streamlining operations within our organization. In this position, you will be responsible for database management, social media management, and assisting in the development of backend systems and operations manuals. You will play a crucial role in client event planning, helping to organize seminars, conventions, and conferences, including making arrangements for hotels, air travel, and car rentals. Additionally, you will assist with video production and work towards achieving a paperless office by organizing electronic files. Your responsibilities will also include creating listing presentation packages, ensuring all necessary paperwork is completed and sent to the Transaction Manager/BackAgent, and managing checklists. You will be tasked with creating and personalizing virtual tours, entering listings into the MLS, scheduling showings, and coordinating with sellers to complete necessary disclosures and notarizations. Furthermore, you will review listings on national sites and prepare marketing materials for open houses. As part of the marketing and client relations efforts, you will oversee all databases and CRM systems, produce self-promotion materials, and assist with social media management. You will also be involved in organizing client care gifts, seasonal gifts, and event planning for client parties, ensuring a memorable experience for our clients. This role requires a commitment of 15 to 30 hours per week, with a flexible schedule to accommodate your needs.

  • Get survey and have seller fill out T-47 and notarize
  • Make keys, hang lockboxes, arrange process for accompanied showings if requested
  • Sign install & pick-up
  • Review listing on national sites: Realtor.com, Trulia.com, Zillow.com, etc. & add open houses, tours, etc. and upload additional photos
  • Prepare listing flyers & other marketing materials for Open House
  • Contact Showing Agents for feedback
  • Contact Condo Associations to get answers on budgets, pets, etc. when needed
  • Check in with appropriate parties prior to closing: confirm ready to close, HUD circulation for review, title clear, etc.
  • Assist with closing follow-up
  • Update database after closing
  • Schedule appointments for showings
  • Assist in providing follow-up for showings to Listing Agents
  • Oversee transaction management

Requirements
