The Client Care Specialist (Veterinary Receptionist) at The Oncology Service is a vital role that goes beyond traditional reception duties. This position is integral to the hospital team, providing support to veterinarians and technicians while ensuring the safety and quality of care for pets and clients. The specialist is responsible for creating a welcoming first impression, managing client communications, and facilitating the smooth operation of the veterinary practice.

Responsibilities

  • Greeting clients and providing exceptional customer service
  • Answering client calls on multiple phone lines in a timely and compassionate manner
  • Utilizing effective listening skills to collect useful information from pet owners
  • Scheduling appointments logically and effectively
  • Communicating routinely with veterinarians and technicians about client requests and appointment information
  • Educating and advising clients regarding services and practices
  • Assisting clients with general information, appointments, and invoicing
  • Admitting and discharging pets from appointments and services, scheduling follow-ups as needed
  • Accurately updating and maintaining client/pet medical records

Requirements

  • Minimum of 2 years of reception experience in the veterinary field
  • Ability to multi-task and prioritize work
  • Fundamental knowledge of Windows-based computer programs
  • Ability to recognize and seek guidance in client-related cases where protocol does not apply
  • Ability to remain professional and inviting under stressful and emotional situations
