About the position

The Client Letters Team Manager will oversee the dissemination of client correspondence and establish new client communications as needed within the Wealth Management Operations division. This Director-level position involves managing internal and external client relationships, optimizing client experiences, and collaborating with various business units to support financial transactions and implement effective controls. The role emphasizes leadership, continuous improvement, and the development of team members while ensuring high standards of service and operational excellence.

Responsibilities

  • Develop staff, lead projects, and control deployment of resources using management tools such as work queues and checklists.
  • Set direction and expectations for the team, defining training plans and transferring expert knowledge.
  • Contribute to the business plan for the area, establishing risk/contingency plans and addressing issues with urgency.
  • Build and manage relationships with business unit partners and external contacts in Client or Market organizations.
  • Participate in all phases of the technology change process and influence the direction of progress.
  • Foster a cooperative environment and guide the team in business development and daily production oversight duties.
  • Coordinate the quality assurance process and assure cooperation from all Operations teams.
  • Analyze metrics reporting, ensuring relevance and adjusting processes as needed.
  • Ensure oversight and cooperation with vendors for production output and oversee the external change process.
  • Continuously improve processes, reduce risk, and streamline operations.
  • Participate in internal and external audits as well as Compliance and Risk reviews.

Requirements

  • Bachelor's degree in a relevant field.
  • At least 6 years of relevant experience in client services or financial services.
  • Strong relationship building skills and ability to think commercially.
  • Experience in managing teams and enhancing operational controls.
  • Demonstrated leadership abilities and vision in managing projects and change initiatives.
  • Excellent analytical thinking and problem-solving skills.
  • Ability to work effectively on multiple projects under tight deadlines.
  • Superior verbal and written communication skills.
  • Knowledge of financial services industry products and processes.
