About the position

The Client Onboarding Specialist at Fiduciary Trust International is responsible for managing the onboarding process for new clients, ensuring the accurate and timely opening of accounts, and facilitating the closure of terminated relationships. This role involves collaboration with various operations teams to enhance the onboarding experience and ensure compliance with KYC/AML regulations. The position is hybrid, requiring in-office presence 1-2 days per week in St. Petersburg, FL.

Responsibilities

  • Manage the onboarding process for various clients including investment management, trust & estates, and custody-only accounts.
  • Liaise with front office departments to coordinate delivery of appropriate documentation to clients.
  • Assess client onboarding documentation for completeness, accuracy, validity, and readiness for onboarding.
  • Work with front office and clients to obtain missing information needed for verification and onboarding.
  • Collect and review required account opening documents to determine proper administration of accounts.
  • Interpret language in trust agreements and legal documents related to KYC completion.
  • Coordinate and perform basic KYC screening on existing clients.
  • Perform day-to-day activities aligned with KYC/AML regulatory policies and procedures.
  • Direct communication requirements to businesses regarding KYC, including reports and tracking of account opening data.
  • Provide oversight and guidance for training requirements to meet regulatory standards.
  • Determine if business has properly presented KYC information and escalate issues as needed.
  • Coordinate the asset transfer phase and other client setup tasks.
  • Verify and communicate account funding status and other client setup milestones.
  • Maintain client onboarding checklists and procedures.
  • Complete and coordinate account closing tasks with internal and external parties.
  • Stay updated on regulatory changes impacting the account opening process by partnering with Legal & Compliance.
  • Ensure data integrity of client account information during onboarding.
  • Participate in other projects as assigned by Supervisor or Manager.

Requirements

  • Bachelor's degree or equivalent experience required.
  • 1-5 years of experience in the financial services industry required.
  • Experience with client onboarding or KYC and AML highly preferred.
  • Strong written and verbal communication skills.
  • Ability to work efficiently and accurately in a fast-paced, multi-tasking environment.
  • Strong aptitude to understand, utilize, and improve technology platforms.
  • Highly motivated and self-directed with problem-solving skills.
  • Prior experience working with senior-level professionals.
  • Ability to maintain confidentiality and handle client account information.
  • Trust Administration background or ability to review and interpret trust language is a plus.
  • Strong analytical skills with strategic thinking capabilities.
  • Proficient in MS Word, Excel, PowerPoint, and SharePoint.
