About the position

As a Client Onboarding Specialist at KeepingCount, you will play a pivotal role in overseeing all administrative and accounting duties related to the onboarding of new clients. This position is designed for an experienced, diligent, and professional individual who is dedicated to building a career with purpose and opportunity. You will be responsible for ensuring that new clients have a seamless transition into our services, which includes a thorough understanding of their financial statements and identifying areas that require cleanup. Your attention to detail and organizational skills will be crucial in managing multiple client onboardings effectively and efficiently. In this role, you will review new clients' financial statements, pinpointing items that need cleanup, and identify opportunities for implementing apps and automation to enhance their experience. You will handle QuickBooks Online setups, customize chart of accounts, and complete clean-up, catch-up, and project accounting for new clients. Additionally, you will perform the first full cycle accounting closes for new clients, which includes reconciling accounts and recording journal entries such as accruals, prepaids, and payroll. Once clients are fully cleaned up and caught up, you will transfer them to the recurring accounting team, ensuring a smooth handover. Your ability to communicate effectively and build relationships with clients will be essential during the sales and onboarding process. You will present client details and processes to the internal team clearly and efficiently, and create specialty reporting tailored to client needs. This role requires a proactive approach to managing deadlines across multiple clients while assisting in building internal processes and best practices for project work and cleanup. Your keen attention to detail and commitment to accuracy will ensure the integrity and dependability of your work, ultimately contributing to the success and growth of our clients' journeys.

Responsibilities

  • Reviewing new clients' financial statements and identifying items that need cleanup
  • Identifying opportunities for the implementation of apps and automation
  • Handling QuickBooks Online setups, customizing chart of accounts
  • Completing clean-up, catch-up, and project accounting for new clients
  • Performing the first full cycle accounting closes for new clients including reconciling accounts and recording journal entries, including accruals, prepaids, payroll, etc
  • Transferring fully cleaned-up/caught-up clients to the recurring accounting team
  • Presenting client details, processes, etc., to the internal team clearly and efficiently
  • Creating specialty reporting for clients
  • Effectively managing client onboardings by making sure work is performed in a timely manner
  • Assisting in building internal processes and best practices for project work and clean up
  • Communicating and building relationships with clients via phone, email, Teams meetings during the sales and onboarding process

Requirements

  • Accounting, payroll, and bookkeeping experience in a multi-client environment
  • 5+ years of SMB accounting experience
  • Bachelor's Degree in Accounting
  • Proficient in cloud accounting technologies (1+ years in QBO, Sage Intacct, Gusto, Rippling, Melio, Bill.com, Hubdoc, etc.)
  • Ability to manage deadlines across multiple clients
  • Excellent communication skills with both clients and team members across digital channels
  • Keen attention to detail and obsession with making sure there is accuracy, integrity, and dependability in their work
  • Working knowledge of GAAP and basic accounting terminology
  • Knowledge of online calendars and scheduling (Google Calendar, Zoom, Microsoft Teams, G-Meet)
  • Excellent phone and email etiquette
  • Strong time management and organizational abilities, with a proven ability to manage multiple tasks and projects to successful on-time completion
  • Ability to troubleshoot/problem-solve independently
