About the position

The Client Relations Manager is responsible for enhancing customer experiences and driving sales success through effective communication and event management. This role involves guiding clients through the event planning process, ensuring their vision aligns with the company's standards, and implementing sales strategies to meet revenue goals. The position requires strong organizational skills, a team-player mentality, and the ability to thrive under pressure while maintaining a positive attitude.

Responsibilities

  • Support sales team to ensure all leads are contacted within 1 business day & receive dynamic & positive communication.
  • Guide clients through menu choices that align with their preferences and vision while maintaining Roots standards.
  • Assist sales team in maintaining a steady flow of communication to clients and follow up promptly to move leads through the sales process.
  • Host clients for tastings when Executive Account Manager is unavailable.
  • Support Sales manager to achieve established sales revenue goals and targets and exceptional guest experiences.
  • Strategically contact clients to up-sell food, beverage, rentals, design, specialty items & services throughout the planning process.
  • Create & share invoices with clients & ensure payment is received prior to the event date.
  • Assist in finalizing all contracts and logistics 2 weeks prior to the event date.
  • Attend monthly sales meetings.
  • Create, grow and maintain vendor relationships with periodic check-ins.
  • Facilitate scheduling site visits and final walk-throughs.
  • Post event follow up with client to congratulate them and request reviews.
  • Post event follow up with venue/planners to submit post event survey.
  • Coordinate the following week's schedule by Thursday of the current week and any changes to the schedule after Thursday of the prior week must be approved by the employee's direct report.
  • Attend BEO meetings for briefing on upcoming events.
  • Create detailed packing lists based on BEO details, venue logistics and chef team needs.
  • Design, pack, label, and organize all assigned events 48 hours prior to the day of your event.
  • Communicate shortages on any items to management.
  • Create a detailed task list specific to your event needs that includes timeline and staff assignments to ensure everyone and everything is in the right place at the right time.
  • Arrive to Roots minimum of 2 hours prior to your event leave time, ready to manage all service staff and delegate tasks accordingly.
  • Communicate clearly with assistant event managers before your departure from the event to ensure a smooth transition.
  • Complete after action report and bring any issues directly to your manager.
  • Create meaningful relationships with venues by scheduling site visits & checking in periodically to increase event inquiries & set standards for onsite event execution.
  • Assist in organizing & packing out drop offs & events managed by part time staff.

Requirements

  • 2 years experience with Sales, Catering or Event Services.
