About the position

The Client Relations Manager at FREEDOM Therapies, Inc. plays a crucial role in fostering relationships with potential and current clients, ensuring a high level of service and satisfaction. This part-time position requires the individual to attend various conferences, expos, and strategic locations to engage with potential clients and promote the services offered by the organization. Collaboration with the Professional Marketing department is essential to effectively communicate the value of FREEDOM Therapies to the community and potential clients. In this role, the Client Relations Manager will be responsible for guiding potential clients through the onboarding process, which includes managing waitlist placements and providing necessary resources. The position demands a proactive approach to developing and maintaining strong professional relationships, ensuring that clients feel supported and informed throughout their journey with FREEDOM Therapies. The manager will also oversee the retrieval and organization of client documentation, including insurance information, contracts, and consent forms, to facilitate seamless service provision. Additionally, the Client Relations Manager will monitor client satisfaction and service quality by maintaining ethics and client service reporting lines. This includes conducting outcome surveys for discharged clients to assess the efficacy of services provided. The role emphasizes a client-focused atmosphere and encourages participation in evidence-based strategies to enhance service delivery. Regular reporting to management and active participation in monthly meetings with the Scheduling Coordinator are also key responsibilities of this position. The manager will engage in community outreach and advocacy efforts, promoting awareness and support for individuals with special needs while seeking growth opportunities within the organization.

Responsibilities

  • Attend conferences, expos, and other strategic locations for potential client interaction and advertisement in collaboration with the Professional Marketing department.
  • Communicate and assist potential clients regarding waitlist placement and resource provision.
  • Develop and maintain strong professional relationships with potential and current clients.
  • Initiate and monitor all processes related to the onboarding of new clients on the treatment team.
  • Ongoing monitoring and retrieval of client documentation needed for service provision, including documentation for insurance, updating client contracts, updating client demographic information, and service consent form documentation.
  • Maintain and respond to ethics and client service reporting lines in a timely manner to ensure high quality services and client satisfaction for assigned treatment team.
  • Protect, secure, organize, and handle all PHI items in client files.
  • Provide and accept feedback to improve the quality and efficiency of service delivery.
  • Monitor client cancellations and ensure FREEDOM Therapies maintains medically necessary levels of services for clients.
  • Conduct outcome surveys for discharged clients on caseload for up to 5 years post service date to determine the efficacy of services.
  • Consistently promote a client-focused atmosphere and team treatment approach.
  • Actively participate in evidence-based strategies related to projects to monitor and enhance client satisfaction.
  • Prepare and send reports as requested by management and clinical department.
  • Actively participate in monthly meetings with the Scheduling Coordinator related to individual performance, professional development, and client needs.
  • Engage in community-based and company-based dissemination efforts related to advocacy for individuals with special needs, volunteer opportunities, and growth opportunities within FREEDOM Therapies.

Requirements

  • High school diploma or equivalent.
  • Ability to pass a national background check and drug screening.
  • Preferred minimum of one year of experience within the field of applied behavior analysis or related mental health field.
  • Preferred minimum of three years of customer service experience.
  • Professional demeanor and customer service approach.

Nice-to-haves

  • Ongoing maintenance of HIPAA, Diversity, First Aid, and CPR certifications.
  • Participation in a minimum of six hours of continuing education opportunities related to intellectual and developmental disabilities or customer service annually.
  • Completion of FREEDOM Therapies Client Relations Manager competency training within 30 days of hire date.
