About the position

The Client Relations and Team Support Specialist at The Center for Counseling and Psychotherapy is a part-time role focused on providing exceptional customer service and administrative support within a mental health practice. This position serves as the first point of contact for clients, ensuring a welcoming and professional experience while managing various administrative tasks related to client interactions and insurance processes.

Responsibilities

  • Answer phone calls and respond to inquiries regarding services, scheduling, and general information.
  • Schedule appointments for therapists.
  • Process intake forms, insurance information, and other required documentation.
  • Confirm patient eligibility, benefits, and coverage for mental health services.
  • Assist with reviewing and submitting claims for mental health services to insurance companies, Medicare, Medicaid, and private payers.
  • Reconcile payments with insurance remittance advice and identify any inconsistencies.
  • Assist with investigating and resolving denied or rejected claims by coordinating with insurance companies.
  • Address patient inquiries regarding insurance coverage and balances.
  • Follow up on outstanding balances with clients in a professional and tactful manner.
  • Assist with payroll preparation and processing in a timely and accurate manner.
  • Support administrative tasks, such as photocopying, filing, or ordering supplies, as needed.

Requirements

  • Associate's degree in Business Administration or related field with education in administrative support, mental health, or healthcare fields is a plus.
  • Prior experience in a customer-facing or administrative role.
  • Strong communication and interpersonal skills with a compassionate and professional demeanor.
  • Proficiency with office software (e.g., Microsoft Office Suite) and EHR systems.
  • Ability to maintain confidentiality and adhere to HIPAA regulations.

Nice-to-haves

  • Experience in mental health, healthcare, or counseling setting.
  • Familiarity with insurance verification and billing processes.
