About the position

The Client Service Associate supports the Relationship Manager by coordinating activities and initiatives that enhance the new policy and client service processes. This role is crucial in providing superior client service by understanding and addressing client needs, ensuring effective communication, and managing various administrative tasks to facilitate smooth operations.

Responsibilities

  • Assemble meeting preparation documents for sales meetings, including illustrations and policy summaries.
  • Perform insurance underwriting duties, including preparation of applications.
  • Schedule medical insurance exams and order Attending Physician Statements.
  • Follow up with clients and Relationship Managers during the underwriting process.
  • Manage new business cases using the MOSAIC system and communicate updates to clients and RMs.
  • Participate in case management calls with Relationship Managers.
  • Review and prepare insurance policies for delivery, ensuring compliance with delivery requirements.
  • Ensure Relationship Manager has appropriate licensing and work with internal contacts for renewals.
  • Process all policy changes and coordinate with the Private Wealth Management Team for asset management applications.
  • Handle client service requests, including changes to policies and claims processing.
  • Interact with insurance carriers and vendors to ensure timely execution of service requests.
  • Proactively manage the Relationship Manager's existing business by tracking overdue premiums and coverage risks.
  • Create client correspondence as needed and maintain client files.

Requirements

  • High School Diploma required; College Degree preferred.
  • 1-3 years of Customer Service experience; 3-5 years of industry experience preferred.
  • Knowledge of office equipment operations and electronic calendaring programs.
  • Familiarity with Client Database Management systems and Customer Service disciplines.
  • Excellent communication skills, both verbal and written.
  • Strong attention to detail and ability to prioritize tasks in a fast-paced environment.
  • Proficient in Microsoft Outlook, Excel, Word, and PowerPoint.

  • Experience in wealth management or insurance services.
  • Familiarity with insurance underwriting processes.
