About the position

The Client Service Representative plays a crucial role in providing customer service to clients, staff, and visitors at Health Care for the Homeless. This position involves managing confidential information across various databases and systems, ensuring a smooth client experience from arrival to discharge. The representative is responsible for greeting clients, managing intake and discharge processes, scheduling appointments, and maintaining compliance with HIPAA regulations.

Responsibilities

  • Greets clients and visitors upon arrival and routes them to the correct staff member.
  • Manages the intake of clients, ensuring completion of baseline information and verification of patient demographics.
  • Helps clients complete consents and verifies insurance status, updating necessary databases.
  • Manages the client discharge process, including processing referrals and scheduling follow-up appointments.
  • Schedules appointments for clients across multiple disciplines via in-person requests or phone calls.
  • Documents all activities in the EMR to prepare medical records and billing information.
  • Supports clinic team members to ensure smooth client workflow and excellent customer service.
  • Handles phone calls according to policy, providing telephone triage and disseminating messages appropriately.
  • Processes release of information requests while adhering to HIPAA and confidentiality requirements.
  • Contributes to achieving department goals and adheres to policies and quality standards.

Requirements

  • High School Diploma or GED required.
  • One year of experience in Customer Service required.
  • Experience working with people experiencing homelessness or from low-income backgrounds.
  • Experience with computers and databases, preferably medical or insurance systems.
  • Excellent customer service skills with clear verbal and written communication.
  • Ability to maintain confidentiality in all circumstances.
  • Ability to remain calm in high-pressure situations and provide clear direction.

Nice-to-haves

  • Bilingual (Spanish) highly preferred.
  • Security or de-escalation training preferred.
  • High level of motivation, initiative, and responsibility.
  • Ability to work with interdisciplinary teams.
  • Flexibility and teamwork skills.
