About the position

The Customer Service Representative at Office Interiors Inc. plays a crucial role in providing exceptional service and support to both external customers and internal teams. This position involves managing project coordination, collaborating with the sales team, generating proposals, placing orders, tracking shipments, and ensuring a positive customer experience with the company's products and services.

Responsibilities

  • Respond promptly to inquiries via phone, email, teams, or chat to customers and internal team members.
  • Provide accurate information and support to customers, sales team, project managers, designers, accounting and installation partners.
  • Attend weekly team meetings and provide project updates and assist with resolutions.
  • Manage customer accounts and assist with account-related issues.
  • Collaborate with sales to enhance customer satisfaction.
  • Utilize internal software to propose, order, create delivery install packets, document updates, enter acknowledgements, and manage the project from proposal to invoice.
  • Assist in project management tasks as needed.
  • File claims and back charges with manufacturers or freight carriers.
  • Request install quotes from install partners, as needed.
  • Handle ordering of warranty, change orders, punch and freight issues.
  • Understand pricing philosophy and provide sales guidance on gross margins and profit thresholds to manage order and project profitability.
  • Assist sales and project managers with information as needed to ensure a successful installation resulting in a satisfied customer.
  • Maintain up-to-date knowledge of company products, services, and policies.

Requirements

  • High School Diploma or GED.
  • Some college or college degree preferred.
  • 4-6 years of related professional experience.
  • Strong customer service skills with a focus on building positive relationships.
  • Excellent communication skills, both verbal and written; includes interpersonal skills and strong analytical skills.
  • Strong organizational and time management skills with a high level of accuracy and professionalism.
  • Problem solving abilities.
  • Strong work ethic and reliability.
  • Demonstrated ability to effectively handle multiple priorities, multiple salespeople and projects.
  • Familiarity with Team Design software, Microsoft Teams, and OneDrive/SharePoint is a plus.
  • Ability to work collaboratively in a team environment while also being self-motivated.
  • Knowledge of commonly used concepts, practices, and procedures in the office furniture industry is a benefit.
