About the position

The Client Service Specialist at Gratium Wealth Planning, an Ameriprise Financial franchise, plays a crucial role in ensuring the smooth operation of a financial planning office. This position focuses on delivering exceptional client experiences by assisting financial advisors in managing office workflows and providing direct support to clients. Responsibilities include scheduling appointments, maintaining client files, and addressing client inquiries, all aimed at enhancing client satisfaction and service delivery.

Responsibilities

  • Schedule client appointments
  • Conduct client appointment reminder calls
  • Conduct client check-in calls
  • Greet clients upon arrival and extend hospitality to clients
  • Set up and maintain client files in CRM
  • Document client calls/contacts
  • Answer questions and provide readily available information to clients, if requested and as allowable, as it relates to servicing their accounts
  • File documents in Box and Online File Manager (OFM)
  • Prepare correspondence for advisor signature
  • Copy and follow-up with home office on related issues
  • Prepare for all client meetings
  • Prepare preliminary financial planning recommendations and initial product solutions for advisor review and use in client meetings
  • Prepare charts, graphs, tables and other visual aids to be used in implementation meetings with clients
  • Maintain client contact during the financial planning process
  • Manage and resolve client service problems
  • Provide necessary client follow-up from initial client appointment
  • Calculate systematic sells/payouts for clients and purchase amounts based on advisor recommendations
  • Complete any business passed from advisor including applications for new business, account maintenance, applying funds in the form of checks to appropriate accounts, and placing trades as directed from Financial Advisor

Requirements

  • 3 years of customer service experience
  • Experience with Salesforce
  • Strong organizational skills
  • Proficient computer skills
  • Excellent phone etiquette
  • Effective communication skills
