About the position

The Client Service Specialist will play a crucial role in supporting financial advisors by managing client interactions and ensuring smooth operational processes. This position requires a highly organized and detail-oriented individual who can handle multiple tasks efficiently while maintaining a professional demeanor. The specialist will be responsible for various administrative tasks, including filing and processing paperwork, updating client files, and preparing financial documents for meetings.

Responsibilities

  • Filing and processing paperwork for client accounts.
  • Updating client files and creating client spreadsheets.
  • Entering data into Excel and maintaining accurate records.
  • Communicating with clients to answer questions and provide support.
  • Preparing financial documents for client review meetings.
  • Tracking account openings and money movement, resolving issues promptly.
  • Inputting detailed notes into CRM and keeping it updated.
  • Coordinating and following up on client transfers, contributions, and distributions.
  • Preparing servicing documents and obtaining necessary signatures from clients.
  • Maintaining professional communication with clients and staff.
  • Assisting with client update reports and mailings.
  • Setting client appointments for Advisors and cross-training to assist with existing client workflows.

Requirements

  • Associates Degree preferred.
  • 2+ years of experience working alongside a Financial Advisor in a fast-paced office environment.
  • Financial industry experience required.
  • Experience with MS Office Suite and ability to learn new software quickly.
  • Professional demeanor and good phone presence.

Nice-to-haves

  • 1-10 years working at a financial firm or insurance company (e.g., Northwestern Mutual, Fidelity, Merrill Lynch).
  • Finance, Business, or Accounting degree.
  • Advanced Excel skills (pivot tables and formulas).
