About the position

Freudigman & Billings LLC is seeking a full-time Client Services and Office Coordinator to oversee client engagement, administrative tasks, and office management. This role is essential for ensuring smooth operations within the office, coordinating client interactions, and managing events both internally and within the community. The ideal candidate will be organized, personable, and adept at handling multiple priorities in a dynamic educational environment.

Responsibilities

  • Greet clients and ensure a welcoming and professional environment.
  • Manage incoming calls and address client inquiries in a timely manner.
  • Guide the daily activities of interns and evening greeters.
  • Conduct daily office walk-throughs to prepare for the workday.
  • Manage office supplies, including ordering and distributing items such as snacks, cleaning supplies, and educational materials.
  • Coordinate facility needs with the landlord and manage basic maintenance tasks.
  • Perform errands, such as recycling toner and distributing mail.
  • Supervise office cleaning schedule, including coordinating with cleaners and handling weekly tasks like emptying the refrigerator and maintaining the dishwasher.
  • Monitor the main scheduling inbox on Fridays.
  • Assist with short-term and long-term scheduling projects.
  • Manage social media accounts (Instagram, NextDoor, and Patch) to maintain an active online presence.
  • Organize sponsorship activities.
  • Take meeting minutes, distribute action items, and oversee completion deadlines.
  • Support new employee orientations and maintain records.
  • Coordinate office lunches, catering orders, and room allocations for special events.
  • Plan seasonal staff events, including the holiday party, summer gathering, and themed office days.
  • Organize community events, such as the Summer Programs Fair and College Services Webinars.
  • Manage promotional materials for recruiting events and holiday gifts.

Requirements

  • Bachelor of Arts or Bachelor of Science degree required.
  • Prior experience in office administration and client service is preferred.
  • Experience with Google Workspace and data management tools is a must.
  • Strong organizational and multitasking abilities.
  • Excellent communication skills for client interaction and team coordination.
  • Proficiency with Google Drive and related office software.
  • Physical ability to lift office supplies/packages and climb stairs.
