About the position

The Client Services Associate at Stack's Bowers Galleries plays a crucial role in delivering exceptional customer service to clients. This position involves managing communication with clients through phone and email, providing information, and resolving issues efficiently. The ideal candidate should be organized, reliable, and flexible with their schedule, including the possibility of overtime on weekends.

Responsibilities

  • Answer, screen, and transfer company phone calls typically ranging from 50-200 each day, providing information, scheduling appointments, and providing any other needed assistance.
  • Schedule appointments, maintain and update appointment calendars and conference rooms.
  • Transmit information or documents to customers, vendors, and employees using email, mail, phone, or in-person.
  • File, invoice mailing, and organize the Numismatic Library as directed.
  • Update company forms and documents as directed.
  • Inform prospective and existing customers of company services, products, procedures, policies, and promotions offered.
  • Log and process office supply request orders as directed.
  • Assist with packing and unpacking deliveries, mailings, pallets, and other offerings ensuring all items are received and are logged as received and all items requested to ship are shipped in a timely manner.
  • Process and prepare memos, correspondence, or other documents.
  • Sorting, stuffing, stamping, and mailing presale and preliminary statements and letters and unpaid invoices according to deadlines.
  • Provide general office support and assist other departments as needed.
  • Place orders for individual auction catalogs along with subscribing and unsubscribing customers to ongoing auction catalog mailings.
  • Research and resolve complaints or issues according to company policies and procedures.
  • Make calls to follow-up on questions, complaints, and issues.
  • Attend trade shows as company representative as needed.

Requirements

  • Strong communication skills, both verbal and written.
  • Ability to handle a high volume of phone calls and emails.
  • Organizational skills to manage appointments and documents effectively.
  • Empathy and problem-solving skills to assist clients with their inquiries.
  • Flexibility to work overtime, including weekends, as needed.
