About the position

The Client Services Coordinator / Paralegal position at Legacy Counsellors, P.C. is a full-time role focused on providing exceptional client service and administrative support within a dynamic law firm specializing in estate planning, wealth management, and real estate. The ideal candidate will be organized, detail-oriented, and possess a can-do attitude, contributing to the firm's mission of delivering outstanding legal services while also having opportunities for personal and professional growth.

Responsibilities

  • Manage and prioritize high volume caseload
  • Work with members of the staff and attorneys in assisting with their clients and projects
  • Provide exceptional customer service and develop strong client relationships
  • Screen and schedule appointments for attorneys
  • Draft outgoing mailings and correspondence
  • Prepare, edit and proofread trusts, estate planning documents, real estate documents and business documents
  • Assist staff and Attorneys with tracking caseload, monitoring and following up on requests and action items
  • Serve as a witness for document signings
  • Self-manage follow up on delegated assignments
  • Retrieve, input and submit financial forms
  • Maintain client files
  • Maintain client confidentiality

Requirements

  • Proficiency with Microsoft Office Suite including Word, Excel, Outlook, PowerPoint, and Adobe Acrobat
  • Experience handling formation and maintenance of corporations, LLCs, and partnerships; experience working for a business attorney preferred
  • 3 or more years in administrative functions or equivalent; previous accounting or financial services experience a plus
  • Experience in drafting residential real estate documents; previous experience in a real estate firm a plus
  • Team-player, reliable, detail oriented, driven, motivated, thorough, honest, exceptional organizational skills and follow through
  • Ability to think and communicate with numbers, diagrams, and spreadsheets
  • Capable of multi-tasking and prioritizing high-volume workload effectively
  • Strong computer skills, generally
  • Excellent math and language skills and a penchant for accuracy
  • Willing to learn this unique field of law
  • Consistent, low-key, deadline oriented, client-friendly attitude

  • Previous accounting or financial services experience
