About the position

The Client Site Administrator at ViaPath Technologies is responsible for managing key functions of client process administration and operational support, particularly in relation to inmate accounts and telephone call records. This role requires a proactive approach to customer service and operational efficiency, ensuring that all processes related to inmate communication are handled effectively. The position is hybrid, requiring three days in the office and two days remote each week.

Responsibilities

  • Serve as a positive Ambassador representative for ViaPath when meeting with customers and clients, demonstrating 'Service Excellence'.
  • Manage the overall service of ViaPath products at assigned customer sites and assist customers as needed.
  • Manage the PIN/PAN access lists, including enrollments, changes, and deletions.
  • Resolve problems related to inmate call access lists and inmate PIN numbers.
  • Assist in the inmate enrollment process, including voiceprint and voice file management.
  • Act as the point of contact for facility staff regarding customer account issues.
  • Compile reports as needed.
  • Be available for on-call duty during emergencies, including evenings and weekends.
  • Create problem tickets and monitor them for resolution.
  • Interact professionally with customers to foster positive relationships.
  • Energize and foster an effective team environment.

Requirements

  • A minimum of 2-3 years of Office Administrative or Clerical work experience.
  • High School Diploma or equivalent is required; post-graduate training and/or education is preferred.
  • Basic knowledge of Microsoft Office products, including Word, Excel, and Outlook.
  • Strong verbal and written communication skills.
  • Strong customer focus and ability to develop partnerships.
  • Proactive, self-sufficient, and highly productive with minimal guidance.
  • Ability to multi-task and meet deadlines.
  • Must be able to work assigned hours and on-call requirements.
  • Candidates must pass a pre-employment background investigation and drug testing.
