About the position

The Clinic Front Office and Reception Team Lead at Willamette Family Medical Center is responsible for overseeing the front office operations of an outpatient primary care clinic. This role includes supervising staff, managing daily operations, and acting as a liaison between various departments. The position requires strong leadership skills, the ability to handle diverse patient populations, and effective communication to resolve issues and ensure quality service.

Responsibilities

  • Supervise the front office staff and daily operations of the clinic.
  • Train and schedule front desk staff in collaboration with the Clinic Manager.
  • Act as a liaison between the office and WFMC departments, including provider teams and nursing staff.
  • Develop and administer policies, procedures, and budgeting for supplies.
  • Respond quickly and appropriately to high-risk situations and diverse patient needs.
  • Explain complex issues and facilitate communication among team members.
  • Provide administrative assistance to WFMC Health executives or leadership staff.
  • Plan, assign, and schedule work for front office staff, ensuring quality standards are met.
  • Review staff work and oversee productivity, offering recommendations for hiring and pay adjustments.

Requirements

  • High school diploma or GED.
  • 5 years of medical office experience, including 1 year in a lead or supervisory role.
  • Experience with EHR systems and HIPAA compliance.
  • Strong communication skills and ability to work with diverse populations.
  • Bilingual in Spanish preferred.
