About the position

The Clinic Practice Manager is responsible for overseeing the administrative and clinical operations of a medical office, ensuring efficient daily operations, patient flow, and compliance with health system policies. This role involves managing staff, coordinating schedules, and maintaining high standards of customer service and confidentiality.

Responsibilities

  • Effectively displays and provides leadership to all staff and providers in multiple office settings.
  • Manages the day-to-day operations of medical office in multiple clinics; identifies, analyzes, and resolves daily workflow issues.
  • Manages the recruiting, hiring, development, and evaluation of all clinical and non-clinical staff in all assigned clinics.
  • Ensures offices are appropriately staffed during all clinical and non-clinical hours; manages staff overtime to the need of each office.
  • Manages provider schedules for locations and visit types in all clinics.
  • Ensures all applicable procedures are scheduled at a Union General facility.
  • Ensures all applicable ancillary services are scheduled at Union General facilities.
  • Ensures requests for information and record releases are handled promptly and effectively to guarantee payment on patient accounts.
  • Abides by and promotes HIPAA compliance; maintains strictest confidentiality with regards to patient information.
  • Conducts monthly/bi-monthly staff meetings at each office to keep staff informed of Union General policies and procedures.
  • Participates in monthly provider meetings to keep providers informed of Union General policies and procedures and review monthly key indicator reports.
  • Acts as a communication link between the providers and administration.
  • Ensures patients are treated courteously by all office staff and that other visitors are screened and properly directed.
  • Acts as the formal contact person for other physician offices, vendors and patient complaints.
  • Oversees and approves ordering and maintenance of all office supplies and equipment.
  • Responsible for the acquisition of complete and accurate patient demographic and billing information.
  • Manages financial counseling processes to ensure fiscal security of all patient visits.
  • Oversees and audits daily cash control processes and ensure that assigned clinics balance payments daily; ensures cash control policies and procedures are followed.
  • Oversees completion of charts and ensures billing cycle is complete for all charges for all assigned clinics.
  • Initiates and oversees marketing activities with the Practice Administrator.
  • Ensures mail is opened and processed daily.
  • Any other duties and or special projects as assigned.

Requirements

  • High school diploma or GED required.
  • 2-3 years of medical office management experience with a concentration in healthcare policies, procedures, and systems preferred.
  • Proficient with scheduling, check-in, and medical records management as well as office budgeting and inventory control.
  • Advanced computer knowledge and able to operate multiple Microsoft Office applications.
