About the position

The Clinical Research Administrative Assistant position at Colorado Kidney Care is a part-time role focused on providing administrative support within the research division of a specialty practice. The assistant will work closely with investigators, site managers, and clinical research coordinators to manage subject information, assist with data entry, and ensure compliance with research protocols. This role requires a strong background in medical research administrative support and involves tasks such as scheduling appointments, processing lab specimens, and maintaining accurate records.

Responsibilities

  • Provide administrative assistance to investigators, site managers, and clinical research coordinators.
  • Manage subject information and perform data entry.
  • Assist with the maintenance of study participants' case loads.
  • Complete source documentation accurately and reliably.
  • Obtain medical records from outside facilities as needed.
  • Schedule appointments for research patients within the CKC scheduling system.
  • Copy medical records and prepare source charts for potential research subjects.
  • Prepare lab kits and requisitions for study visits accurately.
  • Obtain procedure and lab results from outside vendors.
  • Attach patient and administrative records in the electronic medical records system.
  • Process, pack, and ship laboratory specimens with appropriate documentation.
  • Assist with the distribution of accurate 1099's to research patients annually.
  • Maintain the provider CV Binder and the Company Master Roster.
  • Reconcile monthly outside vendor bills as needed.
  • Perform general administrative tasks such as filing and answering phones.
  • Order office and medical supplies as necessary.
  • Ensure receipt and storage of investigational agents.
  • Maintain the daily temperature log for investigational agents and freezers.
  • Open and distribute mail and pertinent study documents in a timely manner.
  • Ensure research equipment is properly serviced and documented annually.
  • Maintain the system for sending greeting and reminder cards to research participants.
  • Communicate effectively with research patients, office staff, and physicians.
  • Assist in planning and coordinating research department meetings and arrange lunches for meetings.
  • Take minutes during meetings as appropriate.

Requirements

  • 3 years of administrative experience, preferably in a medical or clinical research setting.
  • Strong background in medical administrative support.
  • Advanced skills in Microsoft Word, Excel, and Outlook.
  • Completion of Good Clinical Practice and IATA training required.
  • Valid Colorado Driver's License with a clean driving record.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Strong analytical thinking and problem-solving abilities.

Nice-to-haves

  • Experience with electronic medical records systems.
  • Familiarity with clinical research protocols and regulations.
