About the position

The CoB Web Content & IT Support Specialist/MBA Clerical Assistant position at Shippensburg University of Pennsylvania is a full-time role that encompasses responsibilities in two key areas: Web Content/IT Support and MBA Clerical Assistance. The position is situated within the Dean's Office of the John L. Grove College of Business, which consists of approximately 50-60 faculty and staff members. The primary focus of the support specialist is to provide a variety of technical and support services to the dean, associate dean, and faculty/staff, while also maintaining the College of Business's website and related online resources. This includes the undergraduate and graduate programs, the MBA website, and the Academy of Business Disciplines Journal. The support specialist plays a central role in ensuring the CoB website is up-to-date and compliant with AACSB accreditation standards. This requires independent judgment and the ability to prioritize and organize work assignments effectively. The specialist must be proficient in various software applications, including Microsoft Office, Episerver Content Management System, and Adobe products, and should possess a basic understanding of HTML for website management. Additionally, the role involves collecting data for website postings, troubleshooting hardware and software issues, and maintaining digital displays and electronic clocks within the College of Business. In the MBA Clerical Assistant capacity, the individual will manage the office's clerical needs, assist faculty and students, and serve as the first point of contact for inquiries. This role requires excellent organizational skills and the ability to handle a high volume of tasks with minimal supervision. Responsibilities include entering MBA schedules, managing the department's budget, supervising student employees, and conducting routine business in the absence of the MBA Director. The clerical assistant must also maintain effective communication with students, faculty, and other university offices, ensuring that all procedural requirements and deadlines are met.

Responsibilities

  • Provide technical and support services to the dean, associate dean, and faculty/staff of the College of Business.
  • Maintain and update the College of Business website and related online resources.
  • Ensure compliance with AACSB accreditation standards through website management.
  • Collect data for website postings and manage digital content.
  • Troubleshoot hardware and software issues related to digital displays and electronic clocks.
  • Assist the MBA Director in preparing course schedules and offerings.
  • Manage the department's budget and prepare budget submissions to the Dean's Office.
  • Supervise graduate students and manage student payroll positions.
  • Act as the first point of contact for faculty and students with inquiries or issues.
  • Conduct routine business in the absence of the MBA Director.

Requirements

  • Six months of experience as a Clerical Assistant or completion of a high school business curriculum with at least one typing course, or equivalent experience and training.
  • Proficient use of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience with Internet Native Banner and Self-Service Banner for student information management.
  • Knowledge of Cognos/Argos Reports for generating enrollment and advisor lists.
  • Familiarity with SAP for budget management and procurement processes.
  • Ability to manage multiple tasks in a high-traffic work environment.
