About the position

The Collections Specialist at Aramsco is responsible for managing customer accounts, ensuring timely collection of payments, and maintaining accurate financial records. This role involves direct communication with customers regarding their accounts, processing payments, and reconciling discrepancies. The position requires strong organizational skills and the ability to work in a fast-paced environment while maintaining confidentiality and professionalism.

Responsibilities

  • Record and reconcile incoming customer payments of various types (i.e. ACH, wire, cash and checks)
  • Maintain and provide accurate reporting for financial accuracy
  • Load and reconcile variances within our automated check receiving process and our ERP
  • Record cleared Accounts Payable checks as reported via our bank
  • Manage the reporting and posting of returned ACHs and checks
  • Reconcile sales tax variances between our sales tax reporting software (Avalara) and the general ledger
  • Review A/R Collection Queue daily and contact customers on delinquent accounts assigned to you
  • Provide statements/copies of invoices to customers when needed
  • Responsible for taking credit card payments from customers
  • Apply out money on accounts
  • Prepare follow-up collections letters for customer accounts
  • Respond to telephone inquiries and assist in solving questions related to the status of customer accounts
  • Perform research in preparation for updating records, such as tracing customer-mailing address
  • Problem solve balances on all accounts assigned
  • Ensure strict confidentiality of financial records
  • Answer customer-related emails via Outlook
  • Perform miscellaneous job-related duties as assigned by Supervisor

Requirements

  • Minimum of 3 years of collections experience is preferred
  • High school diploma or equivalent
  • Valid driver's license and own dependable transportation
  • Proficient in Word Processing, Excel, Outlook, data entry, and office skills
  • Ability to interact and communicate with people over the telephone, often in stressful situations
  • Strong knowledge of customer service ethics, principles, and procedures
  • Ability to use independent judgment and manage confidential information
  • Ability to multitask and work well in a fast-paced environment
  • Strong communication skills, both written and verbal
  • High level of organizational skills with great attention to detail
