About the position

The College Corps Program Specialist position at California State University Stanislaus is a full-time temporary role classified as an Administrative Analyst/Specialist, Non-Exempt. This position is set to commence on or after November 4, 2024, and will conclude on or before November 5, 2025, with the possibility of reappointment or transition to a permanent role based on budgetary considerations, departmental needs, and job performance. The specialist will work under the general supervision of the Program Director for the Civic Action Fellows Program, collaborating closely with the Program Manager to implement the Californians for All program. The role involves a variety of responsibilities, including assisting in the implementation and documentation of grant projects, ensuring compliance with applicable regulations, and supporting the organization and coordination of meetings and events. The specialist will utilize a project management platform to track communications, maintain grant documentation, and monitor timelines. Additionally, the position requires maintaining budget information, processing budget transaction paperwork, and tracking program expenses. The specialist will also be involved in recruitment and training processes for community partners and College Service Fellowship participants, as well as managing performance measurements and compliance checks for program activities. The College Corps Program Specialist will play a crucial role in supporting the program's operational needs, including preparing reports, responding to inquiries, and organizing outreach events. This position is integral to the success of the College Service Fellowship program and requires a proactive approach to managing multiple priorities and fostering effective working relationships within the university and with external partners.

Responsibilities

  • Assist the Program Director and Program Manager with the implementation and documentation of all grant projects, activities, and requirements.
  • Organize, schedule, and coordinate meetings and/or events, including preparation of materials and developing agendas.
  • Track partner communication, maintain grant documentation, and monitor timelines and due dates using a project management platform.
  • Maintain all budget information in an appropriate, complete, and timely manner.
  • Prepare and process all budget transaction paperwork, such as purchase orders and timesheets.
  • Track and monitor program expenses and reconcile monthly budget reports.
  • Purchase, organize, and monitor all program resources including supplies and equipment.
  • Assist in the development of budget, financial, and program performance reports for submission.
  • Respond to inquiries regarding the program via written, phone, and in-person communication.
  • Support program recruitment, application process, training, and onboarding practices for community partners and participants.
  • Coordinate with the Lead team and Office of Service Learning to complete necessary forms and site selection criteria.
  • Input and maintain reporting and documentation of Fellow's weekly activities across service sites.
  • Collect and process student participant timesheets and liaise with Financial Aid for timely payments.
  • Prepare and organize recruitment outreach and informational events.
  • Support planning and execution of end-of-year appreciation events for site partners and AmeriCorps Fellows.

Requirements

  • Bachelor's degree and/or equivalent training or a combination of education and experience providing the required knowledge and abilities.
  • Minimum of two years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
  • General knowledge and skills in the applicable administrative and/or program field with foundational knowledge of public administration principles, practices, and methods.
  • Working knowledge of budget policies and procedures.
  • Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
