About the position

The College Event Planner at Lehigh Carbon Community College is responsible for the comprehensive planning and scheduling of all internal and external events on campus. This role involves coordinating with various departments and external organizations to ensure successful event execution, managing room setups, and operating audio-visual systems. The position requires a high level of organization and multitasking, as well as the ability to work under limited supervision. The planner will also serve as a liaison for internal and external customers, ensuring all event requirements are met.

Responsibilities

  • Plan and schedule events using web-based technology.
  • Enter events into the LCCC calendar system.
  • Coordinate with college departments and external entities to achieve event objectives.
  • Serve as a liaison to internal and external customers, showing facilities to potential prospects.
  • Process room requests for events from faculty, staff, students, and outside organizations.
  • Prepare letters and information packets for prospective requestors of room reservations.
  • Assist requestors in coordinating event requirements, including meeting spaces, technology, and set-up needs.
  • Calculate room rental fees for outside organizations and work with the Business Office on payments.
  • Maintain room inventory and features using a computerized scheduling system.
  • Investigate and suggest alternative spaces when requested rooms are unavailable.
  • Maintain files for all room requests and outside organizations.
  • Utilize scheduling system to run utilization reports and provide annual data on space utilization.
  • Maintain inventory of supplies for event spaces.
  • Perform other assigned duties.

Requirements

  • High school diploma or GED and one year of work experience; or an associate degree from an accredited institution.
  • Experience with computer software platforms or ability to learn required technology.
  • Strong working knowledge of MS Office (Word, Access, Excel).
  • Ability to lift tables, chairs, and boxes.
  • Good judgment skills to troubleshoot challenges.
  • Excellent organizational skills.
  • Strong multitasking skills.
  • High level of teamwork, initiative, customer service, and commitment to professional growth.

Nice-to-haves

  • Demonstrated experience with event planning and support.
  • Bilingual (Spanish).
  • Experience with 25Live software.
