About the position

Fidelity National Title/National Commercial Services in CO is seeking a superstar Executive Assistant to join our growing team! This is your chance to be the friendly and efficient voice behind the scenes, supporting both our administrative needs and innovative sales initiatives. The Executive Assistant supports both our key executives and our sales team by managing various administrative functions and sales and marketing activities.

Responsibilities

  • Employee Engagement & Corporate Event Planning
  • Travel Booking
  • Write and Edit KPI Reports, Proposals, Client Gifts, etc.
  • Facilities Management (Meeting room preparation, break room organization, etc. for meetings and other group events)
  • Calendar and Email Management
  • Assist Sales with inventory management of promotional materials, along with shipping marketing materials to conferences
  • Assist with employee engagement functions, notification to managers of upcoming performance reviews, and other employee engagement functions
  • Serve both internal and external customers

Requirements

  • High school diploma or equivalent
  • Four or more years of experience in an administrative role reporting directly to upper management
  • Experience in overseeing budgets and expenses
  • Experience in developing internal processes and filing systems
  • Excellent written and verbal communication skills
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Proficiency with office productivity tools and an aptitude for learning new software and systems
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees

Nice-to-haves

  • Helps to support People Operations with employee correspondence and engagement activities
  • Helps the Sales team manage marketing inventory including ordering and shipping marketing and display materials for out-of-town conferences
  • Assists with Sales/Marketing reports and dashboards
  • Updates HubSpot as needed to support the needs of the Sales team
  • Manages and coordinates conference calendar for Sales and Client Management Teams
  • Assist with REL Social Media posts, Newsletters and blogs as needed to support Marketing efforts
  • Other duties as assigned or deemed appropriate
